Position Overview
We are seeking a detail-oriented Payroll and Administrative Specialist with experience in the staffing and recruiting industry. This role supports payroll processing for temporary and contract employees while providing administrative support across recruiting and operations. The ideal candidate understands the nature of staffing, including timesheet management, variable pay rates, and varied employee volume, and can ensure payroll is processed accurately and on time.
KEY RESPONSIBILITIES
PAYROLL PROCESSING
- Process weekly and/or biweekly payroll for temporary, contract, and internal employees
- Review and validate timesheets, hours worked, and pay rates
- Generate and send accurate customer invoices based on approved timesheets and bill rates
- Resolve payroll discrepancies, including missing hours, rate issues, and approvals
- Handle customer billing inquiries, adjustments, and disputes in a timely manner
- Follow up with clients on unpaid or past-due invoices to ensure timely collections
- Coordinate with recruiters and account managers to ensure accurate payroll inputs
- Ensure timely submission of payroll to meet strict deadlines
- Ensure compliance with federal, state, and local wage and hour laws
- Maintain confidentiality of payroll and employee information
- Assist with payroll reporting, audits, and internal tracking
- Track and manage high-volume timesheet collection and approvals
- Maintain accurate employee records, including pay rates, job assignments, and classifications
- Audit payroll data for accuracy and compliance prior to processing
ADMINISTRATIVE SUPPORT
- Provide administrative support to recruiting and operations teams
- Assist with employee onboarding documentation, including I-9s and employment forms
- Maintain organized digital and physical files for employees and assignments
- Support general office operations and reporting as needed
Required Qualifications
- High School Diploma or GED equivalent required (Associate’s or Bachelor’s degree in Business, Accounting, Human Resources, or a related field preferred)
- 2+ years of experience in payroll processing and administrative support in a staffing environment
- Experience working in a staffing or recruiting environment (highly preferred)
- Strong understanding of timesheets, hourly pay structures, and temporary workforce payroll
- High attention to detail and accuracy
- Strong organizational and time management skills
- Proficiency in Microsoft Excel and payroll/timekeeping systems
