    Description

    Teller County's Department of Human Services is seeking a fulltime Administrative Assistant II to maintain the front desk operations including, but not limited to, technical and clerical functions such as data entry, issuance of EBT cards, conference room scheduling, and referral of callers and visitors to the proper office/person. An Administrative Assistant II functions within the agency team executing these responsibilities for all Teller County Department of Human Services departments as needed.


     What You'll Do: 


    Perform a variety of clerical tasks, including answering multiple phone line system, screen and direct telephone calls; compose and type correspondence. 


    Assist the public/clients who either come into the office or who call with questions and paperwork with regard to the specific departmental operations in a courteous and professional manner.


    Verify all Medicaid Mileage program requests for Medicaid eligibility within established timeframe.


    Responsible for EBT card issuance; print and maintain EBT reports; mail EBT Aging letters and perform the monthly 2nd Party reviews for EBT card issuance and outgoing mail. 


    Maintain calendars of conference room and interview rooms.


    Work collaboratively with all Teller County Department of Human Services staff to provide high quality customer service to the public.


    Assist Economic Assistance Department by assigning applications that are submitted via PEAK. 


    Responsible for assembling and maintaining a supply of paper applications and forms for both WP and Cripple Creek offices.


    Monitor the Motor/Voter applications; complete the monthly report and ensure MV applications are sent to Clerk and Recorder's office within timeframes.


    Oversee the training of any CWEP volunteers placed at the Front desk and provide feedback to the case manager.


    Requirements

    What You'll Bring:  


    Education/Experience: 

    • High school diploma or equivalent
    • Three (3) years' experience in an office setting or any combination of education or experience 
    • Any acceptable combination of education, training and experience that provides the listed knowledge, skills and abilities may be substituted

    You Also Have The Following Knowledge, Skills & Abilities: 

     

    Knowledge of: basic front desk operations and equipment; basic bookkeeping procedures; principles and processes for providing excellent customer service, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction 

    Skilled in: use of basic computer software programs; understanding and applying pertinent laws, rules, regulations and policies; using tact, discretion, initiative and independent judgment within established guidelines; maintaining confidentiality; organizing work, setting priorities, meeting critical deadlines and following up on assignments; initiating and responding to a high volume of daily calls/contact; interacting with all levels of internal and external professionals while developing strong productive relationships.


    Ability to: communicate effectively in writing and verbally; establish and maintain effective and professional working relationships with co-workers, other county departments, representatives of other agencies and organizations, and the public; maintain confidentiality and discretion; be a self-starter; successfully accomplish multiple tasks simultaneously while working independently or within a team environment; deal with a variety of people, cultures, problems and circumstances; understand and carry out written and oral instructions, giving close attention to detail and accuracy.


    Additional Details About the Role:  

    Visual Acuity/Hearing/Speaking: Must be able to write and read; able to hear, see and speak. 


    Physical Effort/Dexterity: This position works in an office setting with daily routine computer usage; requires the ability to drive a vehicle; light physical exertion and the normal range of motion and dexterity; ability to stoop, kneel, crouch, bend, crawl or climb; ability to lift, pull or drag up to 25 lbs. for short periods of time.


    Environmental Factors: Work is generally performed in an office setting; occasional local travel may be required. 


    Work Schedule/Characteristics: 40 hours per week; availability outside normal business hours to include weekends may be required. Occasional travel to or between the two Teller County Department of Human Services offices (Woodland Park and Cripple Creek) may be required based on need.


    License/Certification Requirements:  Possession of and ability to maintain a valid Colorado driver's license. Ability to pass background check and drug screen. 

    Compensation and Benefits:

    Salary range: $20.00 - $21.00 / hour

    Status: Full-time, Non-Exempt
