Job description

Job Responsibilities
  • Administer and process biweekly payrolls for all employees, ensuring accuracy, compliance, and timely payment.
  • Review payroll data for accuracy, including hours worked, overtime, pay rate changes, taxes, garnishments, child support orders, PTO usage, and exempt employee time off.
  • Audit payroll transactions and resolve discrepancies prior to payroll processing and approval.
  • Manage and maintain payroll records in accordance with company policies and federal, state, and local regulations.
  • Administer Affordable Care Act (ACA) compliance reporting, including monthly audits, tracking eligibility changes, and annual reporting requirements.
  • Prepare, reconcile, and submit biweekly 401(k) contribution reports and funding information.
  • Process Health Savings Account (HSA) and Flexible Spending Account (FSA) file uploads and coordinate with third-party administrators.
  • Monitor and process payroll changes received through designated payroll channels, ensuring all updates are accurately reflected in the payroll system.
  • Perform monthly payroll bank reconciliations and research any outstanding payroll transactions or discrepancies.
  • Process and post miscellaneous payroll-related deposits and payments.
  • Track employee benefit arrears and prepare monthly employee receivables reports for outstanding benefit premiums.
  • Serve as a primary point of contact for employee payroll inquiries, providing timely and accurate assistance.
  • Maintain confidentiality of employee payroll, benefits, and personnel information always.
  • Support Human Resources with audits, reporting, compliance initiatives, and special projects assigned.
  • Collaborate with department managers, vendors, and third-party administrators to ensure efficient payroll operations.
  • Stay current on payroll regulations, tax requirements.
  • Assist with AP and AR transactions, collections, and payment activities.
  • Other duties as assigned.
Knowledge, Skills and Abilities (KSA)
  • Minimum of five (5) years of Payroll and Benefits administration experience.
  • Accounting background preferred.
  • Highly organized, detail-oriented, and efficient, with strong time management skills.
  • Excellent analytical, critical thinking, and problem-solving abilities.
  • Proficient in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Strong verbal and written communication skills with the ability to interact effectively with employees at all levels of the organization.
  • Experience with Paylocity or a similar payroll and human resources information system (HRIS).
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
  • Demonstrated ability to maintain a high level of confidentiality and professionalism.
  • Ability to work independently, exercise sound judgment, and perform effectively in high-pressure situations.
Education / Certification Requirements
  • 4-7 years of experience working with Benefits and Payroll.
  • Bachelor's Degree in related field preferred.
