Job description

We are seeking a dependable and organized Personal Assistant to support day-to-day operations across multiple businesses, including a Flood & Remediation company and household management tasks. This is a dynamic role that requires someone flexible, motivated, and ready to jump in wherever needed. Job Duties include, but are not limited to:

1. Office Administration – Flood & Remediation Company

  • Assist with scheduling, dispatching, and calendar management

  • Answer phone calls, emails, and coordinate with technicians and vendors

  • Help maintain digital records, files, and light bookkeeping

  • There is also an EXTRA COMMISSION INCENTIVE

2. Household Manager/Personal Assistance

  • Run errands (grocery shopping, pickups/drop-offs, etc.)

  • Coordinate appointments, maintenance, and home organization tasks

  • Assist with light household duties or special projects

Qualifications:

  • Highly organized and detail-oriented

  • Able to multitask across various industries

  • Comfortable with both office and hands-on tasks

  • Strong communication skills

  • Must have a valid driver’s license and reliable transportation

  • Previous experience in administration, hospitality, or personal assistant roles is a plus

  • Xactimate experience is a plus

Office staff answer emergency service calls, schedule technicians, dispatch crews and equipment, and communicate with homeowners, tenants, property managers, and insurance adjusters throughout the restoration process.

Administrative responsibilities include creating estimates, preparing invoices, reviewing moisture documentation and photo reports, maintaining job files, submitting insurance documentation, tracking equipment usage, ordering supplies, processing payments, and ensuring compliance with industry standards and company procedures. The office also manages customer service, follows up on ongoing projects, schedules inspections, coordinates with subcontractors, and monitors project timelines to ensure work is completed efficiently.

Because flood and mold restoration is often an emergency service, the office plays a critical role in prioritizing urgent situations, coordinating after-hours responses, and ensuring technicians have the information and resources needed to mitigate property damage quickly while maintaining clear communication with all parties involved.
