The role of the Facility Maintenance Manager (FMM) is to ensure that the buildings and grounds (including School, Church, Church Offices, Convent, two homes on property, Playgrounds and Athletic Fields) are maintained in a manner that insures a safe, welcoming and productive environment for parishioners, students, staff and visitors. All duties undertaken should be carried out in a manner that best protects the Parish’s investment in buildings and equipment. The FMM will also be charged with the responsibility of assuring that the maintenance and care of these facilities are accomplished within the budget established by the Parish Finance Council. This position reports to the Director of Operations. The FMM is expected to work no less than 40 hrs. a week. 

Requirements:

 1. Building Control and Security

• Assure that a member of the Maintenance or Custodial team are the first to open the buildings each day to assess any situation that requires immediate attention, and that the buildings and equipment therein are ready for use.
• Assist as needed with access and security for school, religious education and parish special events, including monitoring computerized door locking and security systems on a daily basis.
• Assure that evening and weekend staff are in place to monitor and properly secure the facilities for any and all events.

2. Building Systems Management 

• Assure that through staff duties or third-party contract, all mechanical, electrical, plumbing, life safety, security and other building systems and equipment are maintained in accordance with manufacturer’s recommendations and guidelines.
• Establish and maintain preventative maintenance programs for all building systems and equipment, (i.e.: HVAC, Heating, Boilers, Water Heaters) and assure that these programs are implemented and documented in a timely manner.
• Assure proper vetting with due diligence on vendors, solicit bids and provide recommendations for contracted services to the Director of Operations.
• Monitor and review performance of contracted service providers, to include review of invoices for accuracy and contract compliance on a continual basis.
• Maintain accurate and easily understandable maintenance history records for buildings, equipment and grounds and all other relevant systems pertinent to the facility.
• Monitor and adjust the computerized HVAC and Boiler control system daily to balance occupant comfort with efficiency and good stewardship of resources.
• The FMM’s contact information, along with the Director of Operations, and key volunteers will be posted in the Adoration Chapel, within the School, and other relevant areas. In emergency situations all parties listed may receive a call, even during “off hours.”

3. Custodial and General Maintenance

• Assure that through staff duties or third-party contract, the exterior and all interior spaces of the building, grounds, parking lots, and various equipment, are cleaned in a professional manner and with sufficient frequency in order to be sanitary, stocked and ready for use as scheduled throughout the day. Manage a comprehensive schedule to assure that this work is completed in a timely and efficient manner.
• Assure that highly visible and high traffic areas such as entrances, lunchroom and restrooms receive special attention throughout the day to assure a safe, sanitary and attractive manner.
• The Maintenance and/or Custodial team will provide general maintenance as required, i.e. changing filters, light bulbs, plumbing leaks, etc.
• Work with Director of Operations to hire, train, schedule, and manage additional maintenance\custodial staff as needed. Assure that all said staff understand behavior and work ethic will continual be subject to public scrutiny, and more particularly, will be visible to the children and adults who use this facility. Their actions should reflect a Christian attitude and an understanding that we must be good stewards of the resources of the Parish.
• Assure that through staff and\or third-party contract snow removal is completed in a timely manner such that access and safety are maximized. This includes but is not limited to being on call 24 hours per day to monitor conditions and personally conduct snow removal when necessary.
• Assure that emergency cleaning throughout the day, (i.e. spills, vomit and illness) is completed immediately.
• Through the proper use of the Parish Purchase Order system, order and maintain appropriate levels of custodial supplies, restroom products, light bulbs and other spare parts and other miscellaneous supplies as needed.

4. Grounds

• Through the management of volunteer, staff or outside contractors, maintain all grass and landscaping in a manner consistent with our facility.
• Keep all outdoor areas clean and litter free.

5. Building Use Support

• Work with Director of Operations to maintain Building Use Policies and update as necessary.
• Reconfigure classrooms, office and common areas as needed. These duties will vary from rearranging desks to resetting office cubicle partitions and relocating staff within classrooms or offices.
• Assist as needed with special events, such as but not limited to, Vacation Bible School, school programs and parish events.
• Assist as needed with traffic control.
• Be available throughout the day for routine set-up and tear-down of activities such as but not limited to lunchroom tables and other staff needs as they arise.

6. Emergency Response

• Work with Director of Operations and School Principal to maintain a facility Emergency Action Plan and update as necessary.
• Act as the primary contact on an on-call basis for system and emergency alarms and notifications and other contingencies such as snow, vandalism, and other unforeseen circumstances.

7. Construction Management

• The FMM is considered part of the Buildings and Grounds Committee and expected to attend the monthly meeting, the fourth Thursday of the month
• Assist Pastor, Director of Operations and Building & Grounds Committee as needed on all construction projects.

8. General Duties / Working Conditions

• Safety is a core operating principle. The FMM will be responsible for driving excellence while upholding our uncompromising safety standards. FMM and the team will exercise full stop-work authority whenever unmitigated hazards or unsafe conditions arise and will offer solutions to make the work requested safe.
• Physical requirements of this job will include but is not limited to climbing ladders, lifting heavy items up to 100 lbs., crawling under desks and a complete range of physical motion to accomplish any custodial or maintenance duty necessary to maintain the extensive facilities and grounds. The ability to endure outdoor temperatures in both the summer and winter for extended periods of time, if necessary, will also be required.
• Summers are particularly important as it relates to the maintenance of the buildings. During the month of July, all Parish, School and Christian Education activities are suspended to allow the Facility Staff to perform maintenance duties with a minimum of other typical daily facility responsibilities. As such, vacation time during July will only be allowed on an “emergency” basis such as an immediate family wedding out of town or similar situation. Summer vacations should ideally be scheduled in late May, June or early July.
• Any other duties as assigned by the Pastor that relate to the maintenance of our buildings and grounds.
