As one of New England's leading generator sales, service, and installation companies, we're continuing to grow-and we're looking for an experienced Accounts Payable Specialist to join our Accounting team.

In this role, you'll manage the day-to-day accounts payable process, from invoice entry and purchase order matching through vendor payments and reconciliations. You'll work closely with our Accounting, Purchasing, Service, Sales, and Operations teams to resolve discrepancies and keep things moving.

What You'll Do

• Process and code vendor invoices accurately and on time
• Match invoices to purchase orders and receiving documentation
• Review pricing, quantities, freight, taxes, and other invoice details for accuracy
• Research and resolve invoice and purchase order discrepancies
• Obtain required approvals and confirm receipt of products and services
• Prepare and process check, ACH, and wire payment runs
• Reconcile vendor statements and resolve outstanding items
• Respond to vendor questions regarding invoices and payments
• Maintain accurate vendor records, including W-9s, payment information, and terms
• Track subcontractor Certificates of Insurance (COIs) and required documentation
• Process employee expense reimbursements and company credit card activity
• Assist with month-end AP reconciliations, annual 1099 reporting, and audit requests
• Maintain organized accounts payable records
• Work with departments throughout the company to resolve vendor and payment issues
• Help identify opportunities to make our AP processes more efficient

Requirements

What We're Looking For

We're looking for someone who takes pride in keeping things organized and accurate and who can be counted on to follow through. Ideally, you'll have:

• 2+ years of accounts payable or related accounting experience
• Good Microsoft Office skills, particularly Excel
• Strong organizational skills and attention to detail
• The ability to manage multiple priorities and deadlines
• Strong communication and problem-solving skills
• The ability to work independently while also being part of a team
• Professionalism when handling confidential financial information

Experience with SAMPRO or in the construction, trades, or service industry is a plus, but not required. We can teach you our systems. If you have solid accounts payable experience, are dependable and organized, and are interested in growing with an established company, we'd like to hear from you.
