Position Overview

SWS Partners is a growing investment management firm focused on delivering thoughtful investment strategies, trusted relationships, and institutional-quality service across advisor, institutional, consultant, and private wealth channels. SWS Partners is seeking a Manager, Investment Operations & Fund Administration to support the operational administration and execution of the firm’s investment platform across private wealth management, institutional equity portfolios and select private equity deals.


This role will serve as a central operational partner across investment management, client service, compliance, custodial relationships, and internal business functions to ensure the efficient administration, trading, onboarding, servicing, reporting, and execution of investment activity.

The ideal candidate combines operational discipline with strong organization, judgment, and attention to detail. This individual thrives in a fast-paced environment, enjoys creating structure and process, and is comfortable managing multiple workflows and stakeholders simultaneously.

This role is intended to support the firm’s continued growth while helping establish scalable operational infrastructure.


Reporting Structure


The Manager, Investment Operations & Fund Administration will report directly to firm leadership and partner regularly with company leadership, portfolio managers, sales management, external service providers, and client service teams.


Key Responsibilities


Investment Operations

  • Support the operational administration of investment strategies ranging across product types from separately managed accounts (SMAs), private funds, model delivery, and unified managed accounts (UMAs).
  • Support portfolio administration workflows, including account restrictions, model implementation coordination, reconciliation follow-up, trade support, tax loss harvesting and post-implementation review.
  • Coordinate private client life cycle management: account openings, onboarding activities, subscription documentation, investment agreements, funding activity, and implementation processes.
  • Maintain investment performance records from individual client to GIPS composite management.
  • Coordinate custodial requirements and reconciliation, cash transfers, account maintenance, and servicing requests.
  • Support administration activities associated with investor onboarding and fund participation.
  • Coordinate private fund capital activity, including capital calls, distribution notices, investor records, subscription status tracking, K-1 coordination support, and related fund documentation.

Cash Flow, Documentation, Transaction Coordination & Billing Support

  • Develop processes around operational excellence and execution among internal and external stakeholders.
  • Review billing for accuracy of advisory fees, investment management fees, and private fund expenses.
  • Maintain contracts, investment documentation, subscription records, and supporting files.
  • Monitor deliverables, deadlines, approvals, and operational dependencies.F
  • Support transaction tracking and implementation processes.
  • Maintain transaction checklists, closing trackers, funding calendars, and post-closing documentation files.
  • Coordinate with custodians, administrators, legal counsel, compliance, and internal leadership to ensure timely completion of operational deliverables.

Client & Custodian Operations

  • Serve as an operational liaison with custodians, administrators, external partners, and service providers.
  • Coordinate account maintenance requests and documentation requirements.
  • Support client servicing activities related to operational requests and implementation.
  • Ensure timely follow-up and completion of operational workflows.

Reporting, Controls & Process Improvement

  • Prepare and maintain operational reporting, workflow tracking, dashboards, and status updates for Schwab, IBKR, Envestnet, Addepar, and other platforms as required.
  • Support reconciliation efforts and operational quality control procedures.
  • Identify opportunities to improve scalability, efficiency, documentation standards, and operating processes.
  • Develop and maintain procedures and operational best practices.
  • Ensure strong recordkeeping, organization, and operational consistency.
  • Support books-and-records maintenance, audit support, compliance documentation, approval tracking, and internal control procedures.

Cross-Functional Partnership

  • Partner closely with investment management, compliance, legal, client service, and leadership teams.
  • Coordinate priorities across departments and support execution of strategic initiatives.
  • Maintain confidentiality and exercise sound judgment in handling sensitive investment and client information.


Qualifications

  • Bachelor’s degree in finance, Accounting, Economics, Business, or related field preferred.
  • Minimum of 4-7 years of experience in investment operations, fund administration, asset management operations, private markets operations, financial services operations, or investment administration.
  • Experience supporting investment products, fund administration, custodial processes, or client operations.
  • Strong understanding of investment operations workflows and documentation.
  • Advanced organizational and project management skills.
  • Strong Excel skills and comfort with operational reporting.
  • Experience working across order management systems (OMS), performance reporting systems, accounting, custodians, CRM preferred.
  • Exceptional attention to detail and execution.
  • Ability to operate independently and manage competing priorities.
