Job Details
JOB SUMMARY: The Disaster Response Coordinator provides coordination of operations and administrative support to Alaksa Volunteers in Disaster (AKVOAD) Halong Alaska Recovery Team (HART) addressing long-term recovery needs. This role requires strong organizational and administrative skills and a heart for helping survivors of disaster. The ideal candidate is detail-oriented, people-centered, and able to manage multiple priorities in a fast-moving recovery environment. This work will primarily take place in the Southcentral area, but some support will be provided to survivors located in Bethel and Western Alaska.
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:
- Works with a team of disaster case workers and staff, primarily serving the Southcentral area but also providing some support to survivors in remote Western Alaska.
- Provide administrative support to the Halong Long-Term Recovery Group, including scheduling, meeting preparation, note-taking, and file management.
- Maintain accurate, confidential files and documentation in accordance with LTRG policies.
- In collaboration with committee chairs and board members, prepare reports for LTRG leadership and committees.
- Maintain organized digital and physical records, including agendas, minutes, reports, and correspondence.
- Assist with data entry, reporting, and documentation required for grants, compliance, and program evaluation.
- Assist case workers, staff and LTRG members with administrative support as needed.
- Support communication efforts, including email updates, announcements, and coordination with partner organizations.
- Track referrals, service metrics, and committee activities to support ongoing program improvement.
- Assist with logistics for trainings, community meetings, and LTRG events.
- Performs other duties as assigned.

WORK ENVIRONMENT / JOB CONDITIONS:
- Agency is a mandated tobacco, drug and alcohol-free workplace.

- Must have the ability to operate the following equipment: desktop computer, telephone, copier, PC printer, and fax machine.
- Regular travel to rural Alaska and ability to carry out job responsibilities in rural areas without, or with limited, running water and sewer systems.
- Ability to sleep on floor in communities where no other lodging is available.
- This is an in-person position with opportunity for some remote work upon Director approval. Mandatory, in-office workdays occur at least weekly, or more, as needed.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- While performing the duties of this job, the employee will regularly grasp, type, see, talk, hear, lift and carry 40 pounds of weight by utilizing proper lifting techniques and working in a safe manner. This position will also be performing physical activities such as climbing, lifting, balancing, walking, stooping, bending, and handling materials.
- Occasionally performs sedentary activities that require sitting for long periods and repetitive use of hands, wrists and arms for handling, positioning, moving materials, and manipulating things.
- Must be in good general health and free from serious physical, mental health and/or substance abuse issues.
POSITION TYPE / EXPECTED HOURS OF WORK:
This is a Full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m., or hours may vary with location. Occasional evening and weekend work may be required as job duties demand.
This is an in-person position with opportunity for some remote work upon Director approval. Mandatory, in-office workdays occur at least weekly, or more, as needed.
TRAVEL:
Travel is primarily local during the business day, with travel to rural communities; out-of-area and overnight travel is required. This may include transportation by small aircraft and alternative ground transportation.
EMPLOYMENT REQUIREMENTS AND REQUIRED EDUCATION:
- Must be at least 18 years of age.
- State and federal background checks, including fingerprints, may be required.
- Required: High school diploma or GED, at least 2 years of experience in case management, social services, community outreach, or a related field.
- Knowledge of social, cultural, and economic conditions in rural Alaska; experience working with the Alaska Native population.
- Experience in coordinating projects an assisting large teams.
- Excellent written, analytical, organizational and time-management skills
- Demonstrated effective oral and written communication skills and ability to communicate with a diverse audience.

- Must keep all matters concerning participants in strictest confidence as required by HIPAA privacy and the 42 CFR, Part II confidentiality regulations.
- Must have a valid driver's License and maintain a valid driver's license throughout the course of employment. Must provide a copy of current driving record from the Department of Motor Vehicles annually.
- Must have an insured vehicle, present proof of insurance, and maintain proof of insurance throughout the course of employment.
PREFERRED EDUCATION AND EXPERIENCE:
- Preferred: BA in social work, Human Services, Psychology, Public Administration, Emergency Management, or a related field.
- Experience working with multi-agency collaborations or community coalitions.
- Familiarity with data tracking systems, case management software, or CRM tools.
