Job description

Overview

The Assistant General Manager works directly for the River Bend General Manager and Board of Directors to meet the needs of the park. The AGM should be able to fill in and assist anywhere where specialized skills are not required (store, bar, restaurant, etc.).

Assist the General Manager with:

·       Advertising

·       Insuring Park rules and regulations are observed

·       Act as the primary contact with the Jefferson County Zoning Department and the Town of Milford to insure compliance with all local zoning regulations

·       Staff management

·       Attend trade shows and training seminars

·       Assist departments as needed

o   Financial

§  Ensure payroll and cost of goods (COGs) are managed to budget

§  Reconcile cash on hand

§  cash handling policies and procedures are closely followed

§  Ensure accounts receivable are entered, deposited and reconciled

§  Ensure accounts payable are promptly paid and allocated correctly

§  Review vendor invoices to ensure charges are correct

§  File and maintain vendor accounts

§  Generate W-9 forms for year-end taxes

§  Manages or handles purchasing

§  Generate financial reports as directed by the Treasurer

§  Reconcile bank accounts

§  Process and file sales taxes

o   Administration

§  Revise and publish printed materials (menus and maps)

§  Reconcile bank accounts

§  Process and file sales taxes

§  Manage seasonal membership

·       Revise and coordinate changes to the annual agreement

·       Reconcile seasonal accounts

§  Maintain member accounts

·       Generate invoices and statements

·       Enter payments and reconcile member payments

·       Collect delinquent accounts and manages foreclosed sites

·       Process deeds

·       Provide excellent customer service. Handle member complaints.

·       Ensure member golf carts are registered and wrist bands are issued

·       Ensure voting for the annual Board elections, Declaration and By-Laws are properly planned and executed.

§  Monitor payroll

·       Enter employees into the payroll system, ensure all pay and benefit information is correct

·       Generate payroll reports, distribute employee taxes, W2s, etc.

·       Ensure annual performance reviews are written and filed. Report employee performance to the Board of Directors.

o   Information Technology

§  Troubleshoot technology issues and contact IT support when needed

§  Ensure proper operation of the phone, computer and Point of Sale (POS) systems

§  Ensure system updates are planned during off hours/season and are performing as expected post implementation

o   Reservations

§  Assist the Reservations supervisor. Assist as necessary.

§  Review and approve staff schedules

o   Housekeeping

§  Monitor the Bar and Restaurant Manager’s supervision of housekeeping. Assist as necessary.

§  Review and approve staff schedules

o   General Store

§  Assist store supervisor

§  Review and approve staff schedules

o   Bar & Restaurant:

§  Assist Bar & Restaurant Supervisor

§  Review and approve staff schedules

o   Maintenance:

§  Work directly with Maintenance Supervisor and staff

§  Ensure the work order system is working properly

§  Make list of areas requiring attention

§  Review maintenance logs
