Job description

About the Role
We’re looking for a detail-driven Billing & Compliance Assistant to help us stay on top of open invoices, documentation, and internal follow-ups. You will work directly with management to close overdue accounts, verify job details, and keep our internal systems accurate and up to date. This is an operations-heavy role that requires discipline, clear communication, and a strong sense of accountability.

Key Responsibilities

  • Track and follow up on open invoices (calls, emails, system updates)
  • Verify job notes, pricing, and supporting documentation before closing invoices
  • Ensure all required photos, signatures, and compliance records are attached to each job
  • Communicate with technicians to resolve missing information
  • Update CRM and billing systems with accurate data
  • Escalate problematic or overdue accounts to management
  • Maintain organized records for audits, disputes, and internal reporting
  • Assist with general office operations as needed

Requirements

  • Strong attention to detail and accuracy
  • Reliable, consistent, and comfortable owning follow-up tasks
  • Clear phone and email communication skills
  • Ability to work independently and prioritize workload
  • Familiarity with basic office software (Google Workspace, Excel, etc.)
  • Experience in billing, admin, or compliance is a plus but not required — we will train the right person
  • English Speaking + Spanish Speaker Preferred (Bilingual)
