Job description

Purpose
The Executive Administrative Assistant is responsible for providing high-level administrative support to executive leadership team. This role serves as a central resource for corporate administrative functions; including internal communications, corporate travel as well as marketing and website support at the corporate level. The ideal candidate is highly organized, proactive, customer-service oriented, and capable of managing multiple priorities in a fast-paced environment. This job contributes to the fulfillment of Pratum's overall mission, which is to be an agricultural cooperative dedicated to innovative solutions, excellent service, and long-term relationships.
Tasks
  • Provide confidential administrative support to the CEO and executive leadership team.
  • Coordinate Board of Directors meetings, including scheduling, meeting logistics, materials preparation, and facilitation.
  • Arrange executive travel, accommodations, and itineraries.
  • Assist in preparing executive presentations, reports, and professional correspondence.
  • Draft and distribute company-wide announcements and internal communications.
  • Support leadership with scheduling, calendar management, meeting coordination, and special projects.
  • Coordinate employee recognition activities, office celebrations, and company social events.
  • Serve as the subject matter expert for the company's phone system, including setup, training, troubleshooting, and interoffice transfers.
  • Administer the company's mobile device program.
  • Coordinate ordering, deployment, replacement, inventory management, and employee training for mobile devices.
  • Maintain vendor relationships and ensure adequate device inventory.
  • Coordinate company sponsorships, donations, and community involvement activities.
  • Manage donation requests and sponsorship commitments.
  • Complete errands, mail distribution, and other administrative support duties as needed.
  • Plan, organize, and execute company meetings and employee events for the administrative office.
  • Other duties as assigned.

Qualifications and Education Requirements
  • 3+ year of experience preferred but not required.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Demonstrate professionalism, discretion, and sound judgment when handling confidential information.
  • Proficiency with Microsoft Office Suite, Microsoft 365, Outlook, SharePoint, and Excel.
  • Ability to manage multiple projects while maintaining attention to detail.
  • Strong interpersonal skills with a customer-service mindset.
  • Ability to work independently while collaborating effectively across departments.
