Administrative Assistant for growing Contractor/Property Maintenance
Who We Are
Pinnacle Construction is a fast-growing general contracting and property maintenance firm keeping the Portland Metro area running smoothly. We specialize in everything from quick property repairs to larger general contracting projects for residential and commercial spaces. Right now, our main goal is to scale up our operations and maximize client satisfaction without losing our minds in the process.
Why We Need You
To be completely transparent, we are growing fast, and things can get a little chaotic around here as we figure out our SOPs on the fly. We are adding this role because our owner and maintenance field team are drowning in calendars, phone calls, and work orders. We need a central hub to take the wheel on scheduling, clean up the operational clutter, and free up our owner to focus on big-picture strategy.
This will be an on-site role, in the Portland Metro area near the Willamette River, as soon as we finalize our lease.
Why You’ll Love Working Here
If you thrive in environments where you get to build order out of a bit of messy growth, you will love it here. You’ll have a massive, direct impact on our daily sanity, get to work with a genuinely good group of down-to-earth people, and have a clear 1–2 year runway to grow right into a full-fledged Office Manager position.
What You’ll Be Doing
- Serving as our primary phone contact—answering calls and routing inquiries with a warm, friendly vibe.
- Managing the property maintenance work order pipeline and keeping everything tracked in Google Docs and Sheets.
- Coordinate with tenants and schedule 3–4 repair appointments a day directly via a company-provided cell phone.
- Booking up to 10 consultation appointments a week between prospective clients and our company owner.
- Diving into Appfolio software (we’ll train you!) to handle property work orders and tenant messages.
- Reviewing maintenance team schedules to make sure our field guys aren't driving back and forth across the city inefficiently.
- Holding down the fort at our initial remote setup, then helping us transition into our new Portland commercial office once the lease is finalized.
- Gradually taking over the owner’s personal calendar and email inbox as you get your bearings.
What You Bring to the Table
- 1–2 years of experience in an office support, reception, or high-volume scheduling role.
- Solid comfort navigating Google Workspace (Gmail, Google Calendar, Docs, and Sheets).
- A naturally organized mind that can roll with the punches and handle competing priorities in a fast-moving, slightly disorganized environment.
- A warm, professional communication style and a total willingness to learn the property maintenance industry (no prior trade knowledge required!).
The Details (Pay & Benefits)
Because this role is crucial to keeping our property management contracts happy, we have zero flexibility on the schedule: it’s Monday through Friday, 8:00 AM to 5:00 PM so we can answer the phones when clients call.
- Pay: $22.00 per hour to start
- Benefits: Paid Time Off (PTO), Health, Dental, and Vision insurance after 90 days
- Retirement: OregonSaves program
- Holidays: 11 paid holidays per year
