About the Role

As the Fleet Services Manager at Pathfinder, you will oversee the safety, reliability, and performance of the organization's fleet, ensuring employees have dependable transportation to support the individuals and communities we serve. This leadership role combines strategic planning, regulatory compliance, fleet maintenance, and financial stewardship to maximize the value and longevity of Pathfinder's transportation resources while supporting our mission every mile of the way.


As a Fleet Services Manager at Pathfinder, You Will:

  • Fleet Operations & Lifecycle Management
  • Lead the administration and lifecycle management of Pathfinder's fleet, including vehicle acquisition, deployment, maintenance, replacement planning, and disposal.
  • Partner with program leadership to maximize vehicle utilization and ensure transportation resources effectively support agency operations.
  • Coordinate vehicle procurement, inspections, licensing, registration, and deployment for newly purchased and grant-funded vehicles.
  • Maintain complete fleet records, including registrations, warranties, insurance documentation, maintenance history, and compliance files.


Compliance & Regulatory Oversight

  • Ensure compliance with all applicable federal, state, local, INDOT, FTA, DOT, funding source, and Pathfinder transportation requirements.
  • Stay informed on transportation regulations and implement changes to maintain organizational compliance.
  • Serve as Pathfinder's primary liaison with INDOT and transportation funding agencies.
  • Assist with grant applications, reporting, procurement documentation, and ongoing grant compliance activities.


Fleet Maintenance & Vendor Management

  • Develop and oversee preventative maintenance programs that promote vehicle safety, reliability, and regulatory compliance.
  • Coordinate repairs, review repair estimates, authorize maintenance, and monitor repair quality and costs.
  • Build strong relationships with dealerships, repair facilities, vendors, and service providers.
  • Monitor vehicle condition, maintenance trends, downtime, and performance metrics to improve fleet efficiency.


Safety, Risk Management & Emergency Response

  • Promote a culture of fleet safety through education, planning, and risk reduction initiatives.
  • Coordinate accident reporting, insurance claims, post-accident procedures, and required testing.
  • Analyze accident trends and develop recommendations to improve driver safety and reduce organizational risk.
  • Respond to after-hours fleet emergencies, vehicle breakdowns, weather-related incidents, and transportation interruptions when needed.


Financial Planning & Reporting

  • Participate in annual budgeting and prepare fleet operating and capital expenditure recommendations.
  • Monitor fleet expenditures, including maintenance, fuel, insurance, licensing, and replacement costs.
  • Develop long-term fleet replacement strategies based on vehicle age, condition, utilization, maintenance history, and funding availability.
  • Prepare reports and analyses related to fleet performance, compliance, operational efficiencies, and budget planning.

Requirements

  • Minimum of a high school diploma/GED required.
  • Preferred 1-3 years' experience in fleet management or similar field preferred.
  • Experience coordinating fleet operations, vehicle maintenance programs, vehicle utilization, or transportation-related services.
  • Must possess and maintain a valid driver's license and insurable driving record as determined by Pathfinder's auto insurance policy.
  • Knowledge of vehicle maintenance and repair practices.
  • Experience working with automotive repair vendors, dealerships, or fleet service providers.
  • Experience utilizing Microsoft Excel for budgeting, forecasting, reporting, and data analysis.
  • Experience developing fleet replacement schedules and lifecycle cost analyses.
  • Familiarity with vehicle warranties, recalls, and manufacturer service programs.
  • Experience managing vehicles funded through INDOT, FTA, or other governmental transportation programs.
  • Knowledge of INDOT grant administration and compliance requirements.
  • Experience with fleet management software, vehicle telematics, and maintenance tracking systems.
  • Experience coordinating accident investigations, insurance claims, and risk management activities.
  • Knowledge of fleet replacement planning and lifecycle cost analysis.
  • Ability to travel to outlying locations and vendors.
