Job Description

New York City based Publishing company seeks a highly organized, Bi-Lingual Sales Administrative Assistant for our Latin America market.

Responsibilities:

Create and edit sales presentations and sales materials using PowerPoint and Excel

Interacting with customers and outside sales representatives

Send book samples to customers (MUST be able to lift 25-30 pound boxes)

Process and track purchase orders through internal software system

Manage account order history of confirmed projects

Tracking inventory utilizing Excel database

Manage/Assist with special projects as needed

Set up new accounts, including payment terms, and keep information updated and current

Create invoices for orders and track payments

Create contracts, as well as, track and maintain customer's files

Qualifications

Desired Skills and Requirements:

 Advanced Microsoft Excel, Word and PowerPoint skills

 Strong Microsoft Outlook skills, including calendar management

 Excellent written and verbal communications skills

 Ability to prioritize, multitask and have excellent time-management skills

 Must be able to meet strict deadlines

 Ability to work independently and take initiative

 Great attention to detail and excellent follow-up skills

 Professional appearance

 Ability to work well with all levels of management and staff, as well as, clients and vendors

Education/Experience:

  • Fluency in Spanish is a MUST
  • Bachelor's degree preferred, Associate's degree required
  • At least 2 years of work experience in an administrative role
  • Prior publishing or marketing experience is preferred, but not required
