Position Overview

OT Training Solutions is seeking a detail-oriented and highly organized Organization Inspection Program Coordinator to support the Maneuver Center of Excellence (MCoE) Organization Inspection Program (OIP). The successful candidate will coordinate inspections, maintain inspection documentation and SharePoint systems, prepare official correspondence, and support command-level inspection activities in accordance with Army regulations and command policies. This role requires exceptional organizational, communication, scheduling, and coordination skills, along with experience supporting military operations and senior leadership engagements.

Key Responsibilities

Inspection Program Coordination

  • Facilitate scheduling and coordination of staff inspections for the MCoE Organization Inspection Program.
  • Coordinate inspection timelines between inspection personnel and units scheduled for inspection.
  • Ensure compliance with command inspection schedules and maintain inspection completion rates with no more than 2% of scheduled inspections missed annually.
  • Support inspections focused on unit training and adherence to Command Policy guidance.

After Action Review (AAR) Management

  • Prepare Directorโ€™s Office After Action Reviews (AARs) resulting from staff inspections.
  • Submit AARs for Government review and approval prior to dissemination.
  • Distribute finalized AARs to appropriate staff activities in accordance with current Army doctrine.

SharePoint & Website Administration

  • Maintain and update MCoE staff inspection SharePoint sites and associated websites on at least a monthly basis.
  • Ensure inspection records, schedules, and documentation remain accurate, organized, and accessible.

Administrative & Correspondence Support

  • Prepare and edit official correspondence, reports, surveys, charts, graphs, and tables from rough drafts into final products.
    • Draft and process Memoranda, Reports, Directives, Technical papers, Forms, and Narrative correspondence related to unit inspections
  • Ensure all correspondence complies with AR 25-50 and TR 1-11 standards.
  • Produce accurate and professional documents Resource & Policy Coordination
  • Process requests for resources and exceptions to policy for MCoE schools and units.
  • Coordinate requests for approval by the Director, MCoE G-3, or designated representatives.
  • Coordinate with TRADOC and MCoE staff sections regarding resource requests and policy exceptions.
  • Ensure approved resources are delivered to requesting units in a timely manner.

Required Qualifications

  • Bachelorโ€™s Degree in Protocol, Military Studies, Communications, Marketing, Diplomacy, Or related field/equivalent experience
  • Experience in:
    • Scheduling and coordination of command inspections
    • Inspection program execution
    • Administrative and executive support
    • Military protocol procedures, including VIP/General Officer-level engagements
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and SharePoint administration.
  • Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
  • Knowledge of Army correspondence standards, including AR 25-50 and TR 1-11.

Preferred Qualifications

  • Prior military service or experience supporting Department of Defense organizations.
  • Familiarity with TRADOC and MCoE operational environments.
  • Experience supporting senior military leadership and command staff operations.
