Position Summary :
The Scheduling Support Systems & Education Coordinator serves as the primary resource for training, education, and system support related to Smartlinx scheduling functionality. This role partners closely
with center leaders to ensure effective scheduling practices, providing troubleshooting assistance, developing training resources, and promoting compliance with scheduling standards.

Key Responsibilities & Duties :
Provide Smartlinx scheduling support and troubleshoot system and workflow issues across centers
Deliver training and education to field leaders on scheduling processes, system functionality, and best practices
Develop, maintain, and enhance scheduling training materials, job aids, and documentation
Conduct timecard audits to support compliance, including PBJ requirements
Monitor schedule posting compliance and follow up with centers to ensure adherence to standards
Perform scheduling utilization audits and identify opportunities for improvement
Support workforce analytics initiatives related to scheduling, staffing, and labor management
Safety - When in our Centers:

Uses required protective equipment (as needed during center visits)
Follows infection control standards, policies and procedures

Helps the residents/patients exercise and/or protect their rights
Maintains confidentiality of resident/patient and employee information
HIPAA:
Follows and adheres to North Shore Health's policies and procedures implementing HIPAA requirements for the privacy and security of protected health information
Uses and/or discloses only minimum amount of Protected Health Information necessary to complete assigned tasks
Reports all suspected violation of company's HIPAA policies or procedures to North Shore Health Chief Compliance Officer
Work Environment/Physical Requirements:
This is primarily a sedentary role with extended periods of sitting (approximately 80%) with occasional walking or movement (approximately 10%) and limited driving (approximately 10%) for site visits as
needed.
Required Qualifications:
High School Diploma or GED (required)
Associate or Bachelor's Degree in Business, Healthcare Administration, Analytics, or related field (preferred) or equivalent experience.
Required Experience & Skills :
Experience with workforce scheduling systems, timekeeping systems, or HRIS platforms (Smartlinx or similar preferred)
Experience supporting operational teams in scheduling, staffing coordination, or workforce management
Ability to troubleshoot system or workflow issues and guide users through resolution
Strong communication skills, with the ability to explain processes to non-technical users
Excellent organizational skills and ability to manage multiple priorities across locations
Preferred Qualifications:
Experience in healthcare settings (e.g., skilled nursing, assisted living, or health systems)
Experience delivering system training or developing job aids and educational materials
Familiarity with labor metrics, staffing models, and scheduling compliance requirements
Experience supporting multi-site scheduling operations
Additional Expectations :
This role will be based full-time at our Support Center in downtown Milwaukee
