What You'll Do

  • Serve as a true right hand to the CEO, proactively managing the CEO's calendar, inbox, and daily priorities with sound judgment and minimal direction — including building in realistic buffer time between meetings.
  • Triage a high volume of email and communications daily, escalating priority items and drafting responses.
  • Prepare and distribute Board and executive committee materials, take and distribute meeting minutes, track action items through to completion, and maintain organized corporate records and contract renewal tracking.
  • Coordinate heavy executive travel, meetings, and events — confirming attendee availability and prepping rooms, technology, and materials in advance — with genuine attention to detail and quality.
  • Draft, proofread, and polish correspondence, board packets, and presentation materials.
  • Anticipate needs and provide clear, real-time updates so nothing catches the CEO off guard.
  • Oversee and provide backup support to a second Executive Assistant on the team.
  • Assist with light personal support — vacation/family travel, tracking and calendaring for personal and family commitments, periodic gift procurement, and flexibility as needed to streamline the work and life of the CEO.
  • Adapt quickly and comfortably as the organization continues to grow and evolve.

About You

  • 10+ years of senior-level executive support experience, including at least 5 years supporting a President, CEO, or other C-suite executive and several years supporting a Board of Directors.
  • A proactive self-starter who takes ownership — you anticipate needs and take action with minimal direction.
  • Excellent writer and meticulous proofreader, able to put the final polish on executive-level work.
  • Tech-savvy and quick to adopt new tools and systems, including MS Outlook, Excel, Zoom, PDF editing, and preparation of PowerPoint decks.
  • Comfortable with a fast pace and continuous change inherent in a fast-growth environment.
  • Flexible for occasional (though infrequent) evening or weekend responsiveness, and periodic Board meeting or event prep and/or attendance outside normal business hours.
  • Financial services experience is a plus but not required. This is a highly regulated environment, so ability to quickly learn the compliance and regulatory requirements the executive office adheres to is crucial.
  • Willingness to provide gracious on-site hospitality as needed with surprise Board member visits.
  • Bachelor's degree preferred.
