Ndota Travel is seeking an Administrative Assistant to support our travel advisory team with daily operations, client communications, and travel documentation. This role is essential to providing a seamless experience for our clients and requires strong organizational skills and sharp attention to detail. Key Responsibilities
- Provide daily administrative support to travel advisors and management
- Serve as the primary point of contact for client inquiries via phone and email
- Assist with preparing and organizing client travel itineraries and confirmation documents
- Maintain and update client profiles and booking details within our database
- Coordinate calendars, schedule consultations, and manage team meetings
- Communicate with hotels, tour operators, and transport vendors to verify booking logistics
- Assist with basic invoicing, tracking client payments, and general office duties
Qualifications
- High school diploma or equivalent required
- 1–2 years of administrative, clerical, or customer service experience
- Strong proficiency with Google Workspace and Microsoft Office (Word, Excel)
- Experience working with CRM software or customer databases
- Exceptional written and verbal communication skills with a professional demeanor
- Excellent organizational skills and the ability to multitask in a fast-paced environment
- A proactive mindset and a strong team-player attitude
Preferred Experience
- Previous experience in the travel, tourism, or hospitality industry is a plus
- Familiarity with basic booking systems, destinations, and specific travel-industry CRM tools
