Natural Wave Beverage Distribution

Natural Wave Beverage is seeking an experienced Office Assistant who thrives in a dynamic environment and brings administrative precision & positive energy to a small business team! We are at a pivotal period, transforming into a new era with implementation of new inventory management and delivery routing software, so looking for a tech savvy person to help navigate exciting operational changes and transition into a new way of work as a team. Ideal candidate is looking for future growth into tasks supporting marketing, sales, and operations. Must be local candidate, nearby to Auburn, WA and ready to work in office daily.

Responsibilities:

• Manage customer and vendor communications across email, phone, and SMS with warmth and clarity, ensuring smooth coordination of orders and inquiries
• Process customer orders placed and payments received across multiple channels, with attention to detail to catch and correct any issues that arise. 
• Communicate with customers to resolve and collect past‐due balances while maintaining a positive, service‐focused relationship; gather and organize all necessary supporting documentation; and provide responsive, high‐quality customer support throughout the process.
• Assist with inventory planning and management by inputting purchase orders, helping to coordinate order tracking and fulfillment, and vendor support
• Support bookkeeping tasks, including customer audits, invoice processing and payment reminders

Qualifications:

• Strong organizational and communication skills, including excellent written and verbal communication skills
• Experience in Quick Books or other accounting software- inventory/route management software and project management software a plus!
• Detail-oriented with strong ability to prioritize, multitask, and keeping things on track
• Brings a creative eye and graphic editing skills to write, revise and optimize branded materials- experience with AI tools a plus!
• Demonstrated ability to identify process inefficiencies and implement streamlined solutions that enhance productivity
