Responsibilities
- Schedule surgical procedures efficiently, coordinating with surgeons and support staff to ensure optimal operating room utilization.
- Prepare and review patient documentation, including medical histories, consent forms, and pre-operative instructions to ensure accuracy and completeness.
- Verify insurance coverage and benefits, including Medicare and other third-party payers, to facilitate smooth billing processes.
- Maintain comprehensive records within Electronic Health Record (EHR) systems such as ModMed, Epic, Athena ensuring compliance with HIPAA regulations.
- Communicate effectively with patients regarding pre-operative instructions, appointment details, and post-operative care plans using professional phone etiquette and clear documentation review practices.
- Assist in medical billing processes by applying CPT coding, ICD-9/10 coding standards, and ensuring accurate medical coding for procedures and diagnoses.
- Coordinate with clinical teams to ensure all necessary supplies and equipment are prepared for surgery days while adhering to safety protocols.
- Manage front desk operations related to surgical scheduling, patient intake, insurance verification, and maintaining organized medical records.
- Provide exceptional customer service by addressing patient inquiries promptly and professionally while maintaining confidentiality of sensitive health information.
Experience
- Proven experience in medical office management or healthcare administrative roles within a clinical or hospital setting.
- Familiarity with EMR systems such as ModMed, Epic, Athenahealth, or eClinicalWorks is essential for documentation review and record management.
- Knowledge of medical terminology, CPT coding, ICD-9/10 coding standards, and Medicare guidelines is required for accurate billing and documentation.
- Prior clinic experience involving surgical coordination or patient scheduling is highly desirable.
- Strong computer skills including proficiency in Microsoft Office applications (Word, Excel), typing (10 key), and multi-line phone systems are necessary for daily operations.
- Bilingual abilities are advantageous for serving diverse patient populations effectively.
