Job description

Job Description
SUMMARY
Reporting to the Executive Director, Administrative Services, the Foundation Staff Assistant plays a vital role in the overall administrative operations for the Foundation including but not limited to accounting, recordkeeping, financial analysis and reporting of the Foundation.
PRINCIPAL DUTIES AND RESPONSIBILITIES
  • Enter data, including foundation vouchers and student scholarship payables into the Foundation general ledger system.
  • Prepare and manage monthly bank and credit card reconciliations.
  • Reconcile foundation funds held for the benefit of Montclair State University.
  • Monitor grants to determine outstanding obligations due to the University for funds received by the Foundation.
  • Prepare and coordinate the issuance of checks (accounts payable) and the preparation of ACH transfers.
  • Coordinate foundation transfers to the University.
  • Process foundation gifts as needed.
  • Assist with the year-end work in support of the annual audit.
  • Maintain internal spreadsheets and fundraising database records regarding foundations/corporations.
  • Provide support in the preparations of ad hoc reports.
  • Assist with data entry projects, fund review and reconciliation.
  • Performs other duties as assigned.
  • Management retains the right to add or change job duties at any time.

QUALIFICATIONS
REQUIRED:
  • Bachelor's degree from an accredited college or university.
  • Minimum of two years of experience in general accounting.
  • Multi-tasking abilities.
  • Team oriented individual with strong communication skills.
  • Attention to detail, diligence and high degree of integrity.
  • Proficiency in Microsoft applications, preferably in Excel.

PREFERRED:
  • Bachelor's degree in Accounting / Finance.
  • Experience in working with Financial Edge and/or Raiser's Edge.
  • Willingness to learn in a constantly changing environment.
  • Ability to work with faculty and staff across the University Campus.

Salary Range
$63,833.23-$73,415.99 Annual
