Job Description

The Title Clerk is responsible for processing vehicle deals, verifying associated costs, and ensuring the accurate and timely transfer of ownership documentation in compliance with the Department of Motor Vehicles (DMV) regulations. This role plays a key part in supporting the accounting function and delivering a seamless customer experience by handling title and registration processes efficiently and accurately.

Duties & Responsibilities

  • Process all new and used vehicle registrations in accordance with state requirements
  • Prepare and review deal documentation for completeness and accuracy
  • Submit all required legal transfer documentation to the DMV
  • Verify that all funds have been collected and lienholders are paid prior to processing title applications
  • Review title applications for accuracy and ensure all required information is included
  • Prepare payoff checks for vehicle purchases and trade-ins
  • Bill dealer trades and prepare Certificates of Origin
  • Maintain and track out-of-state title documentation
  • Monitor and manage all outstanding title work; report discrepancies or delays to management
  • Provide the controller with a current list of outstanding titles at month-end
  • Prepare stock cards for new and used inventory
  • Assist with the annual renewal of dealer plates in coordination with the comptroller
  • Process ICO (Inter-Company) transactions
  • Stay current on title regulations by attending training and industry seminars
  • Cross-train team members on title processing procedures
  • Conduct training sessions for F&I and sales staff on title regulations and updates
  • Maintain organized and accurate filing systems
  • Support daily runner responsibilities as needed
  • Maintain a professional demeanor, reliability, and a team-oriented mindset
  • Perform additional duties as assigned

Required Skills & Abilities

  • Ability to thrive in a fast-paced, team-oriented environment
  • Strong attention to detail and organizational skills
  • Excellent customer service and problem-solving abilities
  • Proficiency in Microsoft Office and dealership software systems
  • Solid analytical and basic math skills
  • Notary Public designation preferred

Education & Experience

  • Associate degree or equivalent from a two-year college or technical school preferred, or 6–12 months of related experience and/or training, or an equivalent combination of education and experience
  • Prior automotive title experience strongly preferred

Physical Requirements

  • Ability to sit or stand for extended periods
  • Frequent use of a computer and standard office equipment
