Job description

Administrative Assistant

Mindful Recovery Center is seeking a highly organized, professional, and motivated Administrative Assistant to join our growing team. The ideal candidate must be computer savvy, detail-oriented, and capable of multitasking in a fast-paced healthcare environment while providing excellent customer service to clients, staff, and community partners.

Position Summary

The Administrative Assistant serves as the first point of contact for clients and visitors and is responsible for supporting daily office operations, scheduling, intake coordination, document management, and administrative support. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities efficiently.

Key Responsibilities

  • Answer and direct incoming phone calls professionally.
  • Greet clients and visitors and provide exceptional customer service.
  • Complete client intake packets and ensure all required documentation is received.
  • Verify insurance and demographic information.
  • Schedule, reschedule, and confirm client appointments.
  • Maintain accurate electronic and paper records.
  • Assist with data entry and report preparation.
  • Manage office email communications and correspondence.
  • Coordinate with clinical staff regarding scheduling and client needs.
  • Scan, upload, and organize documents within electronic health record systems.
  • Monitor office supplies and place orders as needed.
  • Assist with daily administrative and operational tasks.
  • Follow HIPAA and confidentiality guidelines at all times.
  • Support special projects and other duties as assigned.

Qualifications

  • High school diploma or GED required; Associate's degree preferred.
  • Minimum of 1 year of administrative or office experience preferred.
  • Strong computer skills and proficiency in:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft Outlook
    • Microsoft Teams
    • Google Workspace
  • Ability to learn new software systems quickly.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize duties in a fast-paced work environment.
  • Professional appearance and demeanor.
  • Ability to work independently and as part of a team.
  • Experience in healthcare, behavioral health, or medical offices is a plus.
