Job Description
  • Manage a complex and dynamic executive calendar, including scheduling meetings, appointments, and events.
  • Serve as the primary point of contact for internal and external stakeholders.
  • Act as a trusted gatekeeper, prioritizing requests and ensuring efficient use of the executive's time.
  • Coordinate domestic and international travel arrangements through Concur.
  • Prepare meeting materials, agendas, presentations, and follow-up actions.
  • Manage expense reports and administrative documentation with a high degree of accuracy.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Support special projects and initiatives as directed by the Chief People Officer.
  • Coordinate cross-functional meetings and maintain strong relationships with key stakeholders.
  • Assist with operational, finance-related, or foundation-related administrative tasks as needed.

The Successful Applicant
A successful Temporary Executive Assistant should have:
  • Proven experience supporting a C-suite executive, ideally a Chief People Officer or senior HR leader.
  • Exceptional calendar management and scheduling expertise.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Confident communicator with the ability to manage competing priorities and act as an effective gatekeeper.
  • Required: Hands-on experience booking and managing travel through Concur.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to work independently in a fast-paced, high-accountability environment.
  • Proficiency in Microsoft Office Suite.
  • Experience with Salesforce is preferred.
  • Exposure to foundations, operations, finance, or related environments is advantageous.
