Office Manager

Med-Dyne, Inc. | Louisville, Kentucky | Full-Time

We are looking for an experienced, highly capable Business Operations & Growth Manager who can become a key part of our day-to-day business.

This is a unique position for someone who enjoys variety, takes ownership, and is comfortable wearing multiple hats. On any given day, you may be communicating with a hospital customer, preparing a quote, following up on a sales opportunity, coordinating an order with production, working with a vendor, reviewing inventory needs, or helping solve an operational issue.

We are a small company, and everyone contributes. We need someone who can see what needs to be done, take ownership of it, and follow it through to completion.

What You'll Be Responsible For

Customer Care & Account Management

  • Serve as a primary point of contact for customers and provide professional, responsive customer service.
  • Manage customer inquiries, order questions, pricing requests, quotes, and follow-up.
  • Build relationships with existing customers and identify opportunities to grow accounts.
  • Resolve customer issues promptly and professionally.
  • Maintain accurate customer information, communications, opportunities, and follow-ups in our CRM.
  • Help ensure customers receive accurate information and a consistently positive experience with Med-Dyne.

Sales & Revenue Growth

  • Actively support Med-Dyne's efforts to grow sales and develop new business.
  • Identify and research prospective customers and new account opportunities.
  • Follow opportunities from initial contact through quote, order, and post-sale follow-up.
  • Prepare quotes, proposals, pricing information, and customer communications.
  • Assist with lead lists, email outreach, marketing campaigns, and other practical sales initiatives.
  • Track sales activity, opportunities, results, and follow-ups.
  • Work directly with company leadership on revenue goals and growth initiatives.

Business Operations & Order Coordination

  • Help coordinate daily activities between customer care, sales, production, inventory, and shipping.
  • Manage customer orders and help ensure they move accurately and efficiently from receipt through shipment.
  • Track priorities, open orders, customer commitments, and internal follow-ups.
  • Help improve processes, organization, communication, and accountability throughout the company.

Administrative & Management Support

  • Work closely with company leadership on priorities, projects, and business initiatives.
  • Maintain organized records, reports, tracking systems, and follow-up lists.
  • Coordinate meetings, schedules, customer calls, and internal communication when needed.
  • Step in wherever needed to keep the business running smoothly.

  • Is extremely organized and has strong attention to detail.
  • Communicates confidently and professionally with customers, vendors, and coworkers.
  • Has excellent follow-through and does not allow tasks or customer requests to fall through the cracks.
  • Understands the importance of both customer service and revenue generation.
  • Is comfortable speaking with customers and prospective customers by phone and email.
  • Is comfortable working directly with ownership in a small business.
  • Can work independently without requiring constant supervision.

Qualifications

  • Previous experience in customer service, account management, sales support, business operations, office management, or a similar role.
  • Demonstrated ability to manage multiple responsibilities and priorities..
  • Strong computer skills, including Microsoft Office.
  • Experience preparing quotes, communicating with customers, and following sales opportunities is preferred.
  • Manufacturing, medical device, healthcare, distribution, or other regulated-industry experience is helpful but not required.
  • Ability and willingness to learn Med-Dyne's products, customers, systems, and processes.
