Are you highly organized, detail-oriented, and energized by keeping projects moving forward?


Mead O'Brien is seeking a Project Administrator to support the successful execution of customer projects from proposal through completion. This role serves as a key link between customers, sales, suppliers, and operations, helping ensure project requirements, schedules, documentation, and communications stay on track.


This is an excellent opportunity for someone who enjoys coordinating multiple moving pieces, solving problems, building relationships, and helping deliver exceptional customer experiences.


What You'll Do

Coordinate project activities from order receipt through project closeout
Manage project documentation, submittals, schedules, and customer requirements
Work closely with customers, suppliers, sales teams, and operations personnel
Track project milestones and help ensure deliverables are completed on time
Review contract and project requirements to support successful execution
Maintain accurate project records and customer information
Facilitate communication among all parties involved in a project
Assist in resolving customer concerns, warranty issues, and project-related questions
Support continuous improvement of project documentation and processes


What We're Looking For

Strong organizational and time-management skills
Ability to manage multiple priorities and deadlines simultaneously
Excellent verbal and written communication skills
Strong attention to detail and follow-through
Proficiency with Microsoft Office, including Word and Excel
Ability to work independently while collaborating effectively with others
Positive attitude and strong customer-service mindset

Preferred Qualifications

Previous experience in project coordination, project administration, contract administration, inside sales support, customer service, or a related role
Experience working in industrial, manufacturing, construction, engineering, distribution, or technical environments
College coursework or degree preferred
Experience with project management software, SharePoint, or ERP systems is a plus

Requirements

  • Previous experience in project coordination, project administration, contract administration, inside sales support, customer service, or a related role
