Construction Dispatcher & Appointment Confirmation Specialist

About the Position

A growing Houston construction company is looking for a sharp, dependable and professional Dispatcher & Appointment Confirmation Specialist.

This is a key position connecting our customers, appointment setters and field sales representatives. You will confirm appointments, distribute leads, monitor salesman availability, maintain accurate records and help keep daily operations running smoothly.

We need someone who can work quickly without becoming overwhelmed, communicate clearly and remain calm and solution-focused throughout a busy day.

Primary Responsibilities

• Confirm upcoming customer appointments by phone and text
• Verify customer information, property address, project details and appointment availability
• Confirm that all decision-makers will be present when required
• Clearly explain the purpose of the in-home assessment and estimate
• Reschedule cancellations and customers who missed confirmation
• Follow up with previous customers and second-estimate opportunities
• Assign active leads to available sales representatives based on priority and location
• Confirm that sales representatives received assigned leads
• Monitor availability and document refusals, delays or nonresponses
• Maintain accurate lead sheets, appointment records and dispatch notes
• Update Google Sheets, trackers and internal communication groups
• Provide a clear end-of-day summary of lead activity, appointment issues and salesman availability
• Escalate operational concerns to management when needed
• Keep all communication brief, factual, neutral and professional

What This Position Does Not Require

You will not be responsible for disciplining or arguing with sales representatives. Your responsibility is to document what occurred, notify the appropriate manager and continue handling dispatch and confirmation. Sales management handles salesman accountability.

• Able to multitask between calls, messages, leads and schedules
• Calm and professional in a fast-paced environment
• Comfortable making outbound confirmation and follow-up calls
• Confident communicating with customers and sales representatives
• Able to follow lead-priority and dispatch procedures consistently
• Comfortable using Google Sheets, messaging platforms and lead-tracking systems
• Reliable, punctual and able to take ownership of daily responsibilities
• Construction, home-improvement, dispatch, call-center or appointment-setting experience is preferred

Compensation

• $16–$20 per hour, depending on experience
• Additional commission opportunities
