Position Overview:

We are seeking a highly organized, bilingual (Spanish/English) Executive Coordinator to directly support the Chief Operating Officer. This role serves as a strategic administrative partner, ensuring smooth operational flow, leadership coordination, and international scheduling logistics.
The ideal candidate is polished, proactive, detail-oriented, and comfortable working in a fast-paced construction environment. Construction industry experience is strongly preferred.

Required Qualifications:

  • Must be fully bilingual in Spanish and English (read, write, and speak fluently)
  • Must possess a valid passport and be eligible for international travel
  • Strong written and verbal communication skills
  • Advanced organizational and time management abilities
  • High level of discretion and confidentiality
  • Proficiency with scheduling platforms and Microsoft Office/Google Workspace


Preferred Qualifications:

  • Construction industry experience (general contracting, renovation, or project coordination)
  • Experience supporting a CEO, COO, or senior executive
  • Familiarity with estimating, operations, finance, and field coordination
  • International logistics or travel coordination experience

Core Responsibilities:

  • Manage and prioritize the COO’s calendar, meetings, and travel logistics
  • Coordinate domestic and international scheduling
  • Prepare meeting agendas, summaries, action items, and follow-up logs
  • Triage inbound communications and escalate as appropriate
  • Support cross-department coordination (Estimating, Operations, Finance, Field Teams)
  • Draft professional communications to owners, brand representatives, and consultants
  • Maintain strict confidentiality and professional discretion
  • Track deadlines and ensure accountability on key initiatives
  • Provide high-level administrative and tactical support to the COO
