Lifeworks is hiring a Per Diem Administrative Assistant to work with Individuals with ID/DD.
Responsible for providing Administrative Assistant supports to Lifeworks, with a focus on supporting the administrative needs of the Executives and Administrative Offices.
Essential Duties:
  • Greets all visitors as they arrive at the program, providing direction and assistance as well as notification to the appropriate staff and department of the arrival of these guests (use either guest or visitor). Monitor the arrival of all visitors to ensure that they sign in and are properly directed or escorted by a staff member, to their destination.
  • Answers and screen telephone calls in a pleasant and professional manner. Directs these calls to the appropriate person. Assists those who call with seeking the appropriate staff to assist them. Will be responsible for maintaining all telephone contact lists and for ensuring that updates are provided to staff.
  • Responsible for scheduling and booking conference rooms when requested.
  • Oversees all incoming and outgoing mail, including the distribution of all incoming mail. Responsible for handling of all outgoing express and overnight mail including delivery to overnight station as necessary.
  • Makes copies of correspondence or other printed materials. Prepares outgoing correspondence, including mail, email and faxes.
  • Assists with drafting, preparing and proofing correspondence and other printed materials for other staff members when requested.
  • Assists the Executive Assistant and Management Team with ordering and maintaining supplies as assigned and assists with the arrangement of equipment maintenance. Responsible for the maintenance and supplies for the administrative kitchen, including ordering supplies and arrangement for refreshments as necessary.
  • Responsible for providing clerical and administrative support to the Director of Development and Communications. This will include assistance with typing and word processing, creating and maintaining spread sheets, database entry and preparation of database reports, as well as assistance with all meetings and events. This position could occasionally require flexible scheduling to support development, human resources and agency events.
  • Responsible for the writing of minutes to all meetings that you are assigned to, and the distribution of these minutes to all appropriate parties.
  • Other duties as assigned
    Requirements:
    • Experience working with Individuals with ID/DD
    • High School Diploma or GED; five years related experience and/or training; or equivalent combination of education and experience.
    • Must be able to pass Fingerprint background check, CORI, DPPC and Driving background checks
    • Valid Driver's License required
    • Excellent verbal and written communication skills
