Position Overview
LSWG is seeking a full-time Executive Assistant to provide high-level, complex, and confidential administrative support to one of the firms Tax Principals. This role primarily supports a single principal, serving as a key point of coordination and communication. The Executive Assistant will manage a broad range of administrative responsibilities, including calendar management, deadline prioritization, preparation of client-ready tax returns through detailed quality review to ensure accuracy, completeness, and presentation standards are met. This individual will also help facilitate the partners day-to-day operations and workflow. While this role primarily supports one partner, there will be opportunities to work under the supervision of multiple professionals. This position requires strong organizational skills, sound judgment, discretion, and the ability to anticipate needs while effectively managing competing priorities.

Essential Functions of the Executive Assistant:
- Provides high-level administrative support to one or multiple principals, assisting in achieving firm goals; responds independently on their behalf or directs inquiries to appropriate team members as needed.
- Serves as a gatekeeper and liaison between the assigned partner, internal team members, and clients.
- Manages communications, including emails, phone calls, and correspondence for the assigned partner.
- Maintains and coordinates calendars by scheduling meetings, appointments, and other commitments.
- Prioritizes tasks, manages deadlines, and ensures both the partner and assistant remain on track with key responsibilities.
- Coordinates projects by tracking progress, following up on action items, and supporting overall execution.
- Identifies opportunities to streamline workflows and enhance operational efficiency and productivity.
- Prepares for meetings by coordinating logistics and organizing necessary materials.
- Scans and files client documents within the CCH Document system.
- Prepares and delivers tax engagement letters to clients within firm-established timeframes
- Follows up on outstanding engagement letters to ensure timely receipt and firm compliance
- Assists with processing tax returns, including preparing them for delivery, notifying clients, and coordinating final delivery (electronically or by mail).
- Organizes and maintains files for efficient access and retrieval.
- Keeps partners informed of upcoming deadlines by preparing updated project lists and actively monitoring due projects.
- Prepare billing reports to support prompt and accurate invoicing.
- Ensure client records are current and maintained with accurate contact information.
Other Functions/Requirements of the Executive Assistant:
- Provide support across the administrative team by stepping in when others are out of the office.
- Assists with the development of client and team member communications as directed by Principals.
- Collaborate with the administrative team to streamline processes and improve efficiency.
Requirements of the Executive Assistant:
- Minimum of 2 years of experience as an Executive Assistant or in a comparable administrative support role
- Familiarity with tax documents and tax software is a plus, but not required
- Proficiency in the Microsoft Office Suite
- Experience using scheduling tools and document management systems
- Demonstrated ability to manage complex scheduling demands, shifting workloads, and operational tasks with accuracy and attention to detail
- Initiative & Accountability: Confident self-starter with the ability to take ownership, anticipate needs, and drive tasks to completion
- Organization & Time Management: Ability to manage multiple calendars, deadlines, and priorities efficiently
- Communication Skills: Strong written and verbal communication skills for client interaction and internal coordination
- Discretion & Confidentiality: Proven ability to handle sensitive financial and client information with professionalism.
- Adaptability & Learning Agility: Ability to quickly learn new software, systems, and processes in a dynamic environment
