Job description

Reports to: CEO or Regional Director
Status: Full-time, Exempt
Role Summary: The Operations Manager oversees non-clinical operations that keep the organization running efficiently across hubs. This role leads workflow design, scheduling systems, administrative processes, service access coordination, vendor oversight, and operational readiness to support excellent client and staff experience.

Key Responsibilities:

  • Manage daily administrative and operational workflows for intake, scheduling, communication, facilities coordination, and office readiness.
  • Standardize operational processes across hubs while allowing for hub-specific needs and staffing realities.
  • Oversee administrative staff, front-office workflows, and service support functions.
  • Partner with clinical and RCM leadership to reduce operational bottlenecks affecting access, productivity, and reimbursement.
  • Monitor operational KPIs such as referral conversion, scheduling utilization, no-show trends, and turnaround times.
  • Coordinate vendor relationships, supplies, technology implementation, and cross-hub operational projects.
  • Support policy implementation, emergency preparedness, incident follow-up, and compliance with internal procedures.
  • Prepare dashboards, reports, and action plans that improve efficiency and scalability.

Qualifications:

  • Bachelor’s degree in healthcare administration, business, operations, or related field preferred.
  • 3+ years of operations or administrative leadership experience, ideally in a healthcare or behavioral health setting.
  • Strong skills in process improvement, staff supervision, communication, and problem-solving.
  • Experience with scheduling systems, EHR workflows, and multi-site coordination preferred.
  • Ability to manage competing priorities in a fast-paced, service-oriented environment.

Success Measures: Access and scheduling efficiency, operational consistency, staff support effectiveness, client service responsiveness, and cross-hub workflow reliability.
