Description
The Sales Coordinator supports sales and project execution by coordinating the key aspects of proposal development, vendor collaboration, order management, and client communication. The Sales Coordinator exercises independent judgment in prioritizing project activities, evaluating vendor information, and resolving issues that impact project timelines, product specifications, and client deliverables.
This role serves as a central coordination point between Account Managers, vendors, internal teams, and clients to ensure projects move forward accurately and efficiently from proposal through order execution.
Requirements
Project & Sales Coordination
  • Serve as a liaison between Account Managers, vendors, operations teams, and clients to support project execution.
  • Coordinate project activities by evaluating product information, vendor capabilities, and project logistics to support accurate proposals and project planning.
  • Communicate with vendors to obtain and review pricing, specifications, lead times, and product information to support project planning and decision-making.
  • Coordinate product demonstrations, finish samples, and related project setup requirements while identifying potential risks and delays.
  • Review and validate product specifications, configurations, and quantities against project plans, and recommend adjustments to ensure project accuracy.
  • Participate and contribute to internal, client, and construction meetings, as required.
  • Evaluate vendor information, project requirements, and product options to support recommendations that impact project execution and client deliverables.
Order Management
  • Oversee the order lifecycle for smaller or less complex projects (under $25K) or orders with limited line items by coordinating order activities to ensure alignment with approved specifications, project schedules, and client requirements.
  • Review vendor acknowledgments to verify and confirm order accuracy, pricing, quantities, and lead times, and coordinate resolution of identified discrepancies.
  • Maintain project status reports and order tracking documentation.
  • Coordinate receiving, delivery, and installation logistics with internal teams and external vendors.
  • Provide project coordination support during the absence of Account Managers to ensure continuity and timely issue resolution.
Sales Support & Documentation
  • Support proposal development by compiling product information, pricing data, visual presentations, and lookbooks using Google Slides or other presentation tools.
  • Maintain accurate project data within CRM systems and project tracking platforms.
  • Monitor vendor production schedules and lead times and communicate updates to project teams.
  • Represent KBM Hogue professionally in all client and vendor interactions.
  • Identify opportunities to improve processes, documentation accuracy, and support operational efficiency.

QUALIFICATIONS
  • Bachelor's degree or equivalent professional experience.
  • Strong written and verbal communication skills with the ability to effectively interact with clients, vendors, and internal teams.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Demonstrated ability to take ownership of responsibilities and ensure timely follow-through on tasks.
  • Ability to work effectively with multiple Account Managers and cross-functional teams.
  • Proficiency in Microsoft Office, Google Workspace, Zoom, and CORE or similar order management platforms.
  • Alignment with KBM Hogue's core values and commitment to professionalism and client service.

PHYSICAL REQUIREMENTS
  • Prolonged periods of sitting and working on a computer.
  • Ability to lift up to 15 pounds when necessary.

WORK ENVIRONMENT
Travel: 0-5%; travel to local KBM Hogue offices (San Jose, San Francisco, Sacramento) and client sites may be required.
Work Schedule: Hybrid with a minimum of three (3) on-site days per week.
