JC Resorts-Indian ShoresFront Desk/Reservationist:

Assisting in maintaining an organized, efficient, and professional office environment. Providing staff support in the form of clerical and related office services. To provide services to vacation rental owners and guests in person, over the phone and via the internet. To make and process both guest and owner reservations.

Duties and Responsibilities
    1)Provide information regarding services and rental availability to owners, current and prospective customers, and clients over the phone, via email and in person.
    2)Delegate and coordinate vendor and contractor services as directed by supervisor.
    3)Make reservations for owners’ stays and for their guest and owner rentals.
    4)Process reservations, including initial reservation requests, sending reservation confirmations and emails, taking deposits and accounting for same. Make changes as needed.
    5)Perform all levels of customer service with property owners, guests and vendors including check ins, check outs, helping people with questions and problems as well as providing concierge services.
    6)Collect funds for miscellaneous charges.
    7)Responsible for periodic inspections for owners and VIP arrivals
    8)Distribute, forward and handle mail and package service to guests, owners, and staff.
    9)Maintain files and assist administrative staff as needed.
    10)Perform errands and special projects as requested by supervisor.
    11)Observe established policies and procedures.
    12)Perform other job duties as directed by supervisor.
Inter-Relationships

Will have contact with all levels of personnel within the company, temporary help, property owners, clients, customers, vacation rental guests, vendors, and contractors.

Working Conditions
    1)Company operates seven days a week and is open year-round. Employee schedule will most likely include weekends and holidays.
    2)Front desk staff are required for on-call functions on a rotating basis with other staff members. On Call is one week in length and generally occurs every 4 or 5 weeks on a rotating basis depending on number of staff in rotation. This service is reimbursed in addition to regular remuneration.
    3)Requires occasional use of personal car to perform some job duties throughout properties managed by JC Resorts. Must have valid driver’s license, registration, and insurance.
    4)Will need a personal cell phone to clock in/out and other employment functions.
Skills and Educational requirements
    1)Ability to communicate effectively both verbally and in writing.
    2)Basic computer skills and understanding of Windows systems for PC computers including Microsoft Office, Excel and Outlook programs and knowledge of Internet operations. Vacation rental specific software experience is a plus.
    3)High school diploma
    4)Minimum one year of experience working in Front Desk/Office and/or customer service industry. Experience with vacation rentals is a plus. JC Resorts may elect to train persons with qualifications other than hospitality experience.
    5)Familiarity with Tampa Bay Area and Beaches is a plus
    6)Ability to perform a variety of tasks on short notice. Ability to multitask.
    7)Ability to handle an often fast-paced, varied and busy work environment.
    8)Ability to work alone and be self-motivated and organized.
    9)Positive team-oriented attitude
    10)Ability to provide professional, friendly customer service.
