Job description

The Events Assistant provides hands-on support for a variety of public-facing and member-focused events, including screenings, live broadcasts, concerts, and community programs.
Department Specific Responsibilities
  • Supports Indiana Public Media's community engagement efforts by assisting with the planning, coordination, and execution of events and outreach activities.
  • Works closely with the Community Engagement Specialist and internal teams to ensure smooth event operations and positive audience experiences.
  • Focuses on implementation and logistical support, helping bring engagement initiatives to life through strong attention to detail, organization, and responsiveness.
  • Assists with event setup, execution, and breakdown.
  • Supports day-of-event logistics, including check-in, guest assistance, and coordination of materials.
  • Helps coordinate vendors, partners, and internal staff during events.
  • Prepares and organizes event materials (signage, handouts, supplies, etc.).
  • Assists with transportation and setup of equipment and promotional materials.
  • Supports documentation efforts, including attendance tracking and post-event notes.
  • Ensures a welcoming and positive experience for attendees, partners, and staff.
  • Supports behind-the-scenes coordination and organization to ensure events run smoothly.
  • Assists with maintaining event calendars, timelines, and checklists.
  • Supports outreach to vendors, partners, and participants as directed.
  • Helps organize and maintain contact lists and event records.
  • Assists with data entry related to event participation and engagement metrics.
  • Supports survey distribution and feedback collection efforts.
  • Provides general administrative support to the Community Engagement Specialist.
Qualifications
EDUCATION
Required
  • High school diploma or equivalent (such as HSED or GED)
LICENSES AND CERTIFICATES
Required
  • Possesses a valid driver's license with the ability to be insured by Indiana University
SKILLS
Preferred
  • Ability to be highly dependable, enjoys working in a collaborative environment, and is comfortable supporting multiple events and projects at various stages
  • Experience supporting events, hospitality, or community outreach
  • Strong organizational and time management skills
  • Comfortable interacting with the public in a professional and friendly manner
  • Ability to manage multiple small tasks simultaneously
  • Attention to detail and follow-through
  • Familiarity with public media a plus
Additional Information
This role requires flexibility, reliability, and the ability to work evenings and weekends as needed.

Schedule varies based on event needs. Evening and weekend availability required.
Part-Time employees at Indiana University may not work over 29 hours per week across all University-held positions.
