iii Solutions is a growing managed services provider (MSP) serving businesses throughout the Chicagoland area. We are seeking an Administrative & Operations Assistant to support our day-to-day business operations, client communications, vendor coordination, and administrative functions.
This position plays an important role in helping keep our team organized, responsive, and efficient. The ideal candidate is detail-oriented, proactive, and comfortable managing a variety of responsibilities in a fast-paced small business environment.
Responsibilities
- Serve as a primary point of contact for client inquiries and requests
- Communicate professionally with clients via phone, email, and in-person
- Coordinate client follow-up communications and status updates
- Schedule meetings, appointments, and internal discussions
- Assist with creating estimates, proposals, invoices, and supporting documentation
- Maintain organized electronic files, records, and operational documentation
- Coordinate communication between clients, vendors, and internal team members
- Track outstanding action items and ensure timely follow-up
- Order office supplies, equipment, and business materials
- Maintain hardware inventory and assist with equipment distribution
- Send timesheet reminders and assist with timesheet tracking
- Support PTO tracking and employee administrative processes
- Assist with employee onboarding and offboarding
- Prepare reports, spreadsheets, and tracking documents
- Support process improvement and workflow documentation
- Provide general administrative support to leadership and team members
Requirements
- 2+ years of administrative, office support, customer service, or operations experience
- Excellent written and verbal communication skills
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft 365, including Outlook, Excel, Teams, and SharePoint
- Professional, dependable, and customer-focused demeanor
- Ability to work independently while collaborating effectively with a team
- Strong problem-solving skills and willingness to take initiative
Preferred Experience
- Experience coordinating with clients, vendors, and internal teams
- Familiarity with QuickBooks, CRM systems, or project management software
- Experience maintaining business records, documentation, and operational processes
- Experience supporting employee onboarding, scheduling, or office administration
- Associate's or Bachelor's degree preferred but not required
