Office Manager – Healthcare Administration

Location: New York, NY
Profession/Specialty: Non-Clinical – Administration/Clerical
Schedule: Day Shift | Monday–Friday
Hours: 9:00 AM – 5:00 PM
Pay Rate: $35/hour

Position Overview

We are seeking an experienced Office Manager to oversee administrative operations within a healthcare environment. The ideal candidate will have strong organizational and supervisory skills, healthcare administration experience, and proficiency with EPIC and Patient Manager systems.

Key Responsibilities
  • Develop and maintain computerized departmental data files while ensuring accuracy and data integrity.
  • Maintain records and manage/disburse discretionary and petty cash accounts as required.
  • Process and maintain records related to supplies and capital equipment.
  • Initiate, track, and follow up on outside purchase orders.
  • Coordinate equipment maintenance and repairs with internal departments and external vendors.
  • Provide information, support, and appropriate referrals to patients and family members regarding complaints or concerns.
  • Schedule inter- and intra-departmental meetings, manage calendars, and coordinate meeting rooms, materials, and resources.
  • Manage grievance-related administrative processes when required.
  • Maintain strict confidentiality of patient and employee information.
  • Ensure compliance with applicable healthcare policies and procedures.
  • Manage personal and staff schedules effectively.
  • Prioritize multiple tasks and projects while establishing realistic timelines.
  • Serve as a liaison between administrative, managerial, clinical, and other organizational personnel to facilitate effective departmental coordination.
  • Supervise secretarial and administrative staff, including participation in hiring, termination, and disciplinary actions when necessary.
  • Orient and train new employees.
  • Schedule and approve staff time and maintain accurate attendance records.
Required Qualifications
  • Associate Degree or equivalent required.
  • Bachelor's Degree preferred.
  • Minimum 4 years of related administrative experience, including at least 1 year of supervisory experience.
  • Strong administrative, organizational, and problem-solving skills.
  • Ability to manage multiple priorities, deadlines, and projects simultaneously.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality of patient and employee information.
  • Previous healthcare or hospital administrative experience preferred.
