Position Overview

Impact Signs is seeking a dependable, organized, and customer-focused Front Desk / Office Support Coordinator to join our team. This role is the first point of contact for customers, vendors, and visitors while also supporting office operations, accounts receivable, permitting coordination, and administrative tasks.

The ideal candidate is professional, detail-oriented, able to multitask in a fast-paced environment, and comfortable communicating with customers and internal staff daily. Accounts receivable experience is strongly preferred.

Responsibilities

• Answer and direct incoming phone calls professionally
• Greet and assist customers, vendors, and visitors
• Assist with Accounts Receivable (A/R) processes and customer payment follow-up
• Coordinate and provide required information to our partnered permitting company
• Follow up on permit statuses and ensure projects continue moving forward
• Provide customer updates throughout project milestones
• Support office staff and management with administrative tasks as needed
• Maintain organized records, files, and office communication
• Assist with general office duties and special projects as they arise

Qualifications

• Previous office administration or front desk experience preferred
• Accounts Receivable experience strongly preferred
• Excellent customer service and communication skills
• Strong organizational skills and attention to detail
• Ability to multitask and prioritize responsibilities
• Proficient with computers, email, and Microsoft Office programs
• Positive attitude and team-oriented mindset
• Reliable and professional demeanor

Schedule

• Monday–Friday 8:30am- 5:00pm
• Full-time, in-office position
