The Desk Clerk is responsible for: Managing and coordinating requirements for all class room, conference and event set-ups to include setting up furniture and equipment.
Duties and Responsibilities: - Responsible for the oversight and management of events scheduled at the Foreign Service Institute Campus.
- Use Room Reservation System to coordinate reservations for rooms, classroom and conferences
- Work with and coordinate with staff for classroom and conference room set-ups requested
- Monitor and evaluate all request and special requests to make sure they meet ADA requirements and guidelines
- Meet all safety and fire code regulations
- Ensure that all student occupancy requirements are in accordance with room reservations
- Provide Customer Service
- Work with staff and students on requests and needs
- Provide support and guidance for all actions requested
- Uses telephone, copy center, fax, scanning, etc.
- Closely monitor all events and be prepared to adapt to last minute changes or requests
Knowledge, Skills and Abilities Required: Candidate must demonstrate capability to make reservations for rooms, classroom and conference center in addition to the following:
- Must have experience working with making reservations, for students, instructors, special events and setting up/rearranging classrooms, conference rooms
- Ability to work with computer systems, software, programs and use websites to perform duties
- Possess a working knowledge of Microsoft Word and Excel.
- Ability to walk, stand, stoop, bend, kneel, climb and work in tiring and uncomfortable positions.
- Ability to be able to lift up to 50 Lbs without assistance
- Ability to fill out workorders, forms and reports
- Ability to communicate effectively verbally and in writing in English.
Minimum Job Requirements: - U.S. citizenship
- Must have or be able to obtain a SECRET clearance
- High School Diploma
- Must have a minimum of 2-4 Years' experience working making room reservations, coordinating special events and setting up/rearranging rooms for training and conferences.
- Fluency in the English Language
- Possess a valid driver's license
- Effective oral and written communication skill
- The ability to follow technical direction as delivered by the CO, COR, ACOR, or GTM.
- The ability to interact effectively in a multicultural setting
- Ability to exercise independent judgement when necessary
- Ability to perform physical labor in all categories
