Community Association Manager (HOA / Condominium)

Great Lakes Realty, Inc. | Association Management Division Location: Willoughby, Ohio (office based, with regular travel to communities in the greater Cleveland area)

About Us

Great Lakes Realty is a full service, third party property management firm headquartered in Willoughby, Ohio. We manage multifamily, commercial, and community association properties across Northeast Ohio, backed by an in house facilities division, Midwest Maintenance Services, and dedicated accounting and administrative teams.

Our Association Management division serves homeowner associations and condominium associations that want a manager who actually shows up: someone who knows their governing documents, understands their budget, walks their property, and gives their Board straight answers. We are growing this division deliberately, and we are looking for a manager who wants real ownership of a portfolio and a direct line to leadership.

The Opportunity

As a Community Association Manager, you will be the professional manager for a portfolio of homeowner and condominium associations and the primary point of contact for each of their Boards of Directors. You will guide volunteer Boards through budgets, reserves, governing documents, and difficult decisions, then execute what they approve. This role reports directly to the President. You will have a short path to a decision maker, meaningful influence over how this division grows, and the support of internal facilities, accounting, and administrative teams so you can focus on your communities and your Boards instead of chasing paperwork.

What You Will Do

Partner with Boards

  • Serve as the primary advisor and point of contact for each assigned association Board
  • Prepare agendas, Board packets, and notices, and attend Board, annual, and special meetings, including regular evening meetings
  • Ensure meetings, minutes, elections, and records are handled properly and in line with governing documents and Ohio law
  • Advise Boards on their options and fiduciary responsibilities, and carry out their decisions promptly and accurately

Own the financial picture

  • Lead annual budget preparation, including assessment recommendations and reserve funding
  • Review monthly financials with Boards, explain variances, and monitor association financial health
  • Oversee assessment billing, collections, and the delinquency process in partnership with our accounting team
  • Support audits, tax filings, and reserve studies

Keep communities in great condition

  • Conduct regular site inspections and document common element condition and deferred maintenance
  • Coordinate maintenance, repairs, and Board approved capital projects with our facilities division and approved vendors
  • Solicit bids, prepare recommendations for Board consideration, and administer approved contracts
  • Respond to association emergencies and coordinate remediation, communication, and insurance claims

Administer governance fairly

  • Manage covenant and rules enforcement consistently and in line with governing documents and Board adopted procedures
  • Process architectural and modification requests and communicate decisions clearly
  • Apply fair housing requirements, including reasonable accommodation and modification requests, consistently

Communicate and retain

  • Respond to owner inquiries promptly and professionally
  • Produce association communications, notices, and mailings, and keep records accurate and current
  • Deliver the kind of service that keeps clients with us year after year

What You Bring

Required

  • Three or more years of community association management experience with a portfolio of HOA or condominium clients
  • Working knowledge of governing documents, budgets and reserves, covenant enforcement, and Board governance
  • Familiarity with Ohio association law, including ORC Chapters 5311 and 5312, and with fair housing requirements
  • Strong financial literacy: you can build a budget, read a financial statement, and explain a variance to a volunteer Board
  • Excellent written and verbal communication, and the judgment to handle a tense owner or Board conversation well
  • Availability for regular evening Board and annual meetings
  • Valid driver's license, reliable transportation, and willingness to travel to your communities
  • Proficiency with association or property management software and Microsoft Office

Preferred

  • CAI credential (CMCA, AMS, or PCAM), or active pursuit of certification
  • Experience with capital projects, reserve studies, insurance claims, or developer transition
  • Experience with association accounting workflows and vendor contract administration
  • Ohio real estate license
