Forge Events & Student Life Coordinator's Purpose Statement:
The Events and Student Life Coordinator serves under the leadership of the Senior Director of Spiritual Formation and Student Life, supporting the execution and coordination of student life programming at Forge Christian High School. This role is responsible for directing the logistics and on-site execution of student-facing events, as well as coordinating the administrative and operational functions of the Forge House System, chapel, and student life initiatives. This position implements the vision and direction set by the Senior Director of Spiritual Formation and Student Life, ensuring that all events and student life experiences are executed with excellence, clarity, and consistency. Through strong organization, communication, and attention to detail, this role helps create environments where students experience connection, belonging, and meaningful engagement in the life of the school.
Forge Events & Student Life Coordinator's Responsibilities:
Events Responsibilities
  • Direct the execution of student-facing events by managing logistics, timelines, volunteer coordination, and day-of operations in alignment with the vision set by the Senior Director of Spiritual Formation and Student Life
  • Coordinate and execute assigned student life events, including:
    • New Student Orientation
    • All-School Retreat
    • Welcome Assembly
    • Homecoming events
    • Holiday events
    • Forge Fury Days
    • Prom
    • Senior life events (Graduation support, Senior Breakfast, Senior Send-Off, etc.)
    • Forge Fest and other student-facing events
  • Coordinate and support school-wide events and community nights as assigned, including Back to School Night, Ice Cream Social, and similar all-school gatherings that fall outside of the student life calendar
  • Provide event consulting and logistical support to other teams for school events such as Fine Arts concerts, sports banquets, staff celebrations, and Enrollment events - including guidance on space capacity, seating, décor, and food coordination, while serving as a collaborative resource without fully owning each team's event
  • Develop and maintain practical event planning tools and resources to support efficient execution, including room layout maps with various seating configurations, setup guides, and reusable planning templates for recurring events
  • Organize, manage, and maintain inventory of event décor and materials, ensuring supplies are well-stocked, organized, and readily accessible for upcoming events
  • Manage and maintain Grace Connect room and resource scheduling to ensure all Forge spaces, equipment, and resources related to events are accurately listed, up to date, and set up in the most effective way to support planning and coordination across teams
  • Plan and oversee event development from concept to completion, including creating agendas, flow, and overall event structure to ensure thoughtful and effective execution Develop and manage event logistics, including:
    • Detailed timelines and run-of-show documents
    • Event setup and teardown plans
    • Space usage and scheduling
    • Materials and supply coordination
  • Manage event registration, sign-ups, and related systems to ensure accurate tracking and a smooth participant experience
  • Coordinate and direct volunteers and event support staff, including recruitment, scheduling, and providing clear direction to ensure preparedness and effective execution
  • Serve as the primary on-site coordinator during events, troubleshooting issues and ensuring smooth real-time execution
  • Maintain organized event documentation, timelines, planning templates, and the Annual Plan to ensure consistency, alignment, and efficiency
  • Collaborate with internal teams (Facilities, IT/Production, Marketing, Enrollment, House Staff) to ensure logistical needs are met, communication is clear, and teams are aligned for successful execution
  • Coordinate with Creative and Advancement teams to ensure timely and accurate promotion of student life events
  • Manage vendor communication and coordination, including contracts, pricing, scheduling, delivery, and setup, while maintaining strong vendor relationships
  • Track and manage event budgets within approved parameters in coordination with the Senior Director, ensuring accurate expense tracking and fiscal responsibility
  • Support post-event evaluation by gathering feedback, analyzing participation data, documenting outcomes, and identifying opportunities for improvement

Student Life Coordinator Responsibilities
  • Maintain and manage House and student life data systems, including rosters, points tracking, and related records to ensure accuracy and consistency, including:
    • House Points tracking
    • Rosters and data management
    • House Handbook and related operational materials
    • Event and communication logistics
  • Support execution of House events, competitions, and initiatives by managing logistics, communication, and scheduling
  • Maintain regular presence at student life, House, chapel, and campus events to support execution, visibility, and operational coordination
  • Coordinate logistics for chapel and student life programming, including:
    • Scheduling and calendar management
    • Speaker and participant coordination
    • Setup and communication needs
  • Assist in coordinating student and staff participation for events by communicating logistical needs, schedules, and expectations
  • Maintain and manage the student life calendar to ensure alignment, clarity, and coordination across House, chapel, and student life events
  • Assist in planning and executing retreats and student life experiences through logistical support and coordination
  • Manage communication related to student life events and House programming, ensuring clarity and consistency with students, staff, and families
  • Support cross-team coordination to ensure student life initiatives are organized, aligned, and executed effectively
  • Maintain organized systems, calendars, and planning documents to support efficient execution
  • Assist in producing weekly school newsletters, House highlights, and internal communications reflecting student life and community engagement
  • Maintain awareness of student participation in student life programming, communicating observations to the Senior Director of Spiritual Formation & Student Life
  • Ensure consistent organization and implementation of House systems, including logistics, scheduling, and communication alignment
  • Attend school events regularly (athletic, artistic, STEM, and spiritual) to build visibility and connection with the student body
  • Assist in coordination and logistical support for student outreach and mission trips alongside the Missions and Outreach Coordinator

Staff Requirements:
  • Be present for all Staff Meetings pertinent to your role, unless sick or on vacation.
    • Typically held 1-2x/month on the same day/time to plan accordingly
  • Work "All Staff Required" events.

Work Schedule:
Monday-Friday: 7:30am - 4:00pm
*Schedule could vary weekly dependent on event schedules and/or closing meetings
*This is a full-time, salaried staff position with a 12-month work schedule, based on a standard 40-hour workweek, sick and vacation time as outlined in the Employee Handbook. Work responsibilities continue over the 'summer' months with the potential for flex schedules as determined by team lead.
