Legal Administrative Assistant
We are seeking a dedicated and professional Legal Administrative Assistant to join a premier, fast-paced legal team. In this role, you will be a vital member of a collaborative environment where mutual respect and a commitment to excellence are the standards. As a key contributor to the practice group, you will provide high-level administrative support to ensure the seamless delivery of service to our clients.
Key Responsibilities:
- Administrative Coordination: Manage complex calendars, schedule travel, and coordinate meetings (in-person, teleconference, and video).
- Document Management: Produce, format, edit, and proofread legal documents and correspondence with a high degree of accuracy.
- Workflow Optimization: Anticipate attorney needs, triage emails, and maintain organized physical and electronic files in accordance with established records management policies.
- Financial Administration: Allocate and process complex expense reports, enter and finalize daily time entries, and coordinate client billing with the accounting team.
- Client Liaison: Screen telephone calls, greet clients, and act as a professional point of contact for internal management, outside vendors, and visiting counsel.
- New Business Support: Facilitate conflict report requests and assist in the preparation of new business intake forms.
Qualifications & Skills:
- Experience: 2–10+ years of related experience within a professional services or legal environment.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Knowledge of Document Management Systems (e.g., DeskSite/iManage) is highly preferred.
- Analytical Skills: Strong problem-solving abilities and the judgment to prioritize tasks effectively under tight deadlines.
- Communication: Exceptional interpersonal skills and the ability to maintain confidentiality and discretion at all times.
- Efficiency: Ability to type 60–70 wpm accurately and a proactive "self-starter" approach to workload management.
Education
- Required: High School Diploma or GED.
- Preferred: B.A. or B.S. degree from an accredited college or university.
