    Job Description / Essential Elements:
    SAN GABRIEL UNIFIED SCHOOL DISTRICT

    A N N O U N C E S O P E N I N GS F O R
    SECRETARY I
    QUALIFICATIONS: 1. Graduation from high school or equivalent, including or supplemented by courses in typing, office practice and shorthand.
    2. Two (2) years of general stenographic and/or clerical experience.
    3. Type at a rate of 50 words per minute from clear, legible copy.
    4. May be required to take dictation at a speed of 70 words per minute and transcribe it accurately.
    5. If driving is required in the course of duty, operator must possess a valid and appropriate California Driver's License and qualify for insurability with the District's insurance carrier.
    6. Some positions in this class may require individuals who can read, write, and/or speak a second language.
    7. Knowledge of:
    โ€ข Operations, procedures and methods of the assigned office.
    โ€ข Operation of a computer and assigned software.
    โ€ข Modern office practices, procedures and equipment
    โ€ข Reception and telephone techniques.
    โ€ข Correspondence and report writing.
    โ€ข Correct English usage, spelling, grammar and punctuation.
    8. Ability to:
    โ€ข Learn and interpret specific rules, policies or laws and apply them using good judgment and tact.
    โ€ข Perform secretarial work of average difficulty with accuracy and speed.
    โ€ข Establish and maintain indexes and files.
    โ€ข Understand and carry out oral and written directions.
    โ€ข Establish and maintain effective work relationships with those contacted in the course of work.

    JOB GOAL: Under general supervision, to perform a wide variety of secretarial and clerical work of average difficulty, may take shorthand notes and transcribe them accurately on a typewriter, and to do other related work as may be required.
    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
    1. Serve as secretary to a district administrator, relieving the administrator of a variety of clerical and technical duties.
    2. May take and transcribe dictation, or transcribe dictation from voice recording equipment.
    3. Type a variety of correspondence, memoranda, reports and other materials.
    4. Take and transcribe minutes from meetings of a variety of committees.
    5. Arrange and schedule a variety of committees.
    6. Arrange and schedule meetings and conferences.
    7. Record and make appointments, maintain calendars.
    8. Establish and maintain complex, interrelated filing systems and records.
    9. Serve as liaison between administrator and other district officials.
    10. Prepare and assemble agenda materials.
    11. Review and check documents, records, and related forms for accuracy, completeness and conformance to applicable rules and regulations.
    12. Review reports and maintain records of expenditures.
    13. Assist in preparing budget estimates.
    14. Compose correspondence independently or from general oral or written instructions.
    15. Give out information in person or by telephone where judgment, knowledge and interpretation of policies and regulations are necessary.
    16. Open, date stamp and distribute mail and identities and refer matters to the assigned administrator in order of priority.
    17. Receive visitors, set up appointments, screen visitors and telephone calls and refer to appropriate staff members.
    18. May train and assign work to office clerical personnel.
    19. May make recommendations for statistical and financial data and information for inclusion into special periodic reports.
    20. Operate a variety of office equipment.
    21. May be required to provide translation and interpretation of another language other than English.
