Job description

Summary/Objective

The Sales Support Representative is focused on industrial ingredients and seasonings. This Sales Support Representative is a critical component of our sales operations, providing comprehensive support to ensure seamless execution of the sales process. The Sales Support Representative is integral to ensure smooth operations and effective communication across departments, including Research and Development, Logistics, Accounting, and Operations. The Sales Support Representative will be a proactive, self-motivated team player with strong communication, organizational, and problem-solving skills who thrives in a collaborative, fast-paced environment.

Essential Functions: Serve as a key point of contact for the sales team, providing administrative and operational support throughout the sales process. Collaborate with Research and Development, Logistics, Accounting, and Operations to ensure timely order processing, inventory management, and delivery coordination. Prepare and maintain sales reports, customer records, and pricing documentation to support data-driven decision-making. Assist in the development of proposals, quotes, and product presentations while addressing customer inquiries and resolving issues promptly. Monitor order progress, track shipments, and ensure accurate billing and invoicing. Maintain clear communication with internal teams and external clients to streamline workflows and support business growth initiatives. Continuously identify process improvements to enhance efficiency and customer

  • Utilizes independent judgment to prepare sales reports, track order status, and monitor customer satisfaction, offering proactive solutions when issues arise.
  • Has authority to make decisions on managing customer inquiries, provide product information, and address concerns, ensuring a high level of customer service.
  • Regular communication with prospective and existing clients
  • Processing orders utilizing a combination of tools such as ERP
  • Planning and communicating order fulfillment timelines
  • Monitor fulfillment timelines
  • Collaborate with the team on customer and order priorities

  • Work Experience Requirements:
  • 2+ years working with customers in a service focused role
  • 23 years of experience in sales support, administrative, or customer service roles, preferably within the industrial ingredients, food manufacturing, or related sectors.
  • Strong understanding of sales processes and ability to assist in creating quotes, proposals, and reports.
  • Experience with data entry and maintaining accurate sales documentation.
  • Education/Knowledge Requirements:
  • High school diploma or equivalent required; additional certifications or training in sales support, customer service, or logistics’
  • Reports To: Sales Support Manager

    Backup: Other Sales Support Representatives

    Physical Requirements:
  • Ability to sit or stand for extended periods while performing officebased tasks.
  • Occasional lifting of office supplies, documents, or packages up to 25 pounds.
  • Manual dexterity to operate office equipment, such as computers, printers, and phones.
  • Ability to move between departments within the office and warehouse areas when necessary.
  • Occasional travel may be required for meetings or site visits, depending on the role’s needs.
  • Work environment/Hours:
  • Typically, officebased, with opportunities to collaborate with crossfunctional teams in a fastpaced, dynamic setting. The office is equipped with modern office tools and technology, including computers, phones, and software systems used for data entry, communication, and report generation.
  • Fulltime Office hours are typically 8:305:00pm, MondayFriday with occasional overtime.
