Job description

Fulcrum Health Partners|Nashville, TN (Hybrid — 3 days onsite)|Full-Time|Reports to the CEO

Experience: 3–5+ years supporting senior executives, ideally at a consulting firm or fast-growing company.

ABOUT FULCRUM HEALTH PARTNERS

Fulcrum Health Partners is an advisory firm working at the intersection of provider reimbursement, payer contracting, and healthcare M&A — trusted by health systems, physician groups, and deal-side clients alike. We are growing quickly, and we are building the team and infrastructure that let us take on more clients and more complex engagements without losing the precision our clients count on.

ABOUT THE ROLE

This is the right-hand seat to our CEO. You will own the calendar, the inbox, the travel, and the follow-through that keep a demanding client-facing schedule running without friction — and you will go a step further, providing hands-on support to business development and marketing: formatting proposals and client materials, keeping the CRM clean, and helping our brand show up consistently. If you have been the person who makes a founder or partner materially more effective — and you want that work to matter at a firm that is scaling — this is that role.

WHO WE'RE LOOKING FOR

You have supported senior executives in an environment where priorities shift, structure is still being built, and no one hands you a playbook — a consulting or advisory firm, a professional-services shop, or a fast-growing company. You anticipate rather than react. You are unusually organized, write and edit at an executive level, and you close loops without being chased. You handle confidential information the way a firm like ours needs it handled.

WHAT YOU'LL DO Executive Support & Calendar Management
  • Own and actively manage the CEO's calendar — scheduling, sequencing, and protecting time against competing client, internal, and business development demands.
  • Anticipate conflicts and resolve them proactively; make judgment calls on priority when the CEO is unavailable.
  • Prepare the CEO for every meeting: agendas, background on attendees, prior correspondence, and the materials needed to be effective.
  • Track the commitments the CEO makes and drive them to closure with internal and external parties.
Communications & Meeting Management
  • Manage and triage the CEO's inbox — prioritizing, drafting responses, and routing items to the right owner.
  • Draft, proofread, and format correspondence, memos, and presentations on the CEO's behalf.
  • Coordinate internal and client meetings end to end: scheduling, logistics, materials, notes, and action-item follow-up.
  • Serve as a professional, polished first point of contact for clients, prospects, and partners.
Travel, Expenses & Administration
  • Plan and book domestic travel — flights, hotels, ground transportation — and build detailed itineraries with contingencies.
  • Process and reconcile expense reports and corporate card activity; track receipts and support the finance close.
  • Manage vendor relationships, subscriptions, and administrative accounts on behalf of the executive office.
Business Development & Marketing Support
  • Assemble, format, and proofread proposals, pitch materials, and client deliverables to firm brand standards.
  • Maintain CRM (Monday.com) hygiene — logging activity, updating contacts and pipeline records, and running basic reports for the CEO.
  • Coordinate marketing execution: schedule and post content, maintain the firm's LinkedIn presence, and support email campaigns and event outreach.
  • Maintain a library of templates, bios, case studies, and credentials so client-facing materials can be produced quickly and consistently.
Office & Event Coordination
  • Coordinate the Nashville office — supplies, guests, onsite meeting setup, and the in-office rhythm of the team.
  • Plan and coordinate team offsites, client events, and conference logistics.
  • Handle confidential firm, client, and personnel information with complete discretion.
WHAT YOU'LL BRING (REQUIRED)
  • 3–5+ years supporting senior executives as an executive assistant, administrative business partner, or in a comparable role.
  • Experience at a consulting, advisory, professional-services, or fast-growing company — an environment where priorities shift and structure is still being built.
  • A proven ability to manage a complex executive calendar and competing priorities with minimal direction.
  • Exceptional written and verbal communication; able to draft on an executive's behalf and represent the firm professionally.
  • Meticulous organization and attention to detail, with strong follow-through on open items.
  • Advanced proficiency with Microsoft 365 (Outlook, Word, PowerPoint, Excel) and/or Google Workspace.
  • Sound judgment and demonstrated discretion with confidential information.
  • Located in or willing to relocate to the Nashville, TN area, and able to work onsite three days per week.
PREFERRED
  • Experience supporting business development or marketing — proposals, CRM, LinkedIn, or event coordination.
  • Hands-on experience with HubSpot or a comparable CRM.
  • Familiarity with Monday.com or a comparable work-management platform.
  • Bachelor's degree or equivalent practical experience.
LOCATION & TRAVEL

This is a hybrid position based in Nashville, Tennessee, with three days per week onsite and the balance worked remotely. Candidates must be authorized to work in the United States. Availability outside standard business hours is occasionally required to support urgent executive or client needs. Occasional travel — roughly once or twice per quarter — may be required for team offsites, client meetings, or industry events.
