Role Description The Assistant is a full-time hybrid role based in Topsham, ME, with a mix of on-site work and some work-from-home flexibility. Day-to-day responsibilities include supporting administrative operations, such as scheduling appointments, maintaining records, and responding to inquiries from clients, caregivers, and partners. The Assistant helps prepare documents, forms, and reports, and may assist with data entry and the organization of client files. The role also involves coordinating communications, updating information systems, and collaborating with team members to ensure timely follow-up and continuity of care. This position requires a detail-oriented, reliable individual who is comfortable managing multiple tasks and interacting with diverse populations in a professional, respectful manner.
Qualifications

  • Strong administrative and organizational skills, including experience with scheduling, recordkeeping, and document preparation.
  • Proficiency with computers and common office software (e.g., email, word processing, spreadsheets, databases or EMR systems).
  • Clear, professional communication skills, with the ability to interact effectively with clients, families, and colleagues in person, by phone, and in writing.
  • Ability to manage multiple priorities, maintain accuracy, and follow established procedures in a fast-paced environment.
  • Demonstrated reliability, discretion, and respect for confidentiality when handling sensitive information.
  • Interest or experience in human services, healthcare, or community support settings is beneficial.
  • High school diploma or equivalent required; additional training or education in administration, social services, or a related field is a plus.
  • Ability to work onsite in Topsham, ME, with readiness to perform some tasks remotely as needed.
