Job description

Missions In Brief

Within the Aix-en-Provence site, located at the Cube on the Schuman campus, this position offers the opportunity to occupy a versatile role at the heart of the structure. In close contact with the management team, it contributes to the daily functioning of the UTL and the quality of the welcome to the approximately 1,500 people who visit the site each year. A true interface between the public, the teaching teams, the partners, and the various services of the university, this role combines a sense of service, organization, and autonomy.

The daily routine is filled with varied tasks that blend reception, information, administrative management, enrollment support, monitoring of the pedagogical program, and assistance in organizing conferences and events. The management of files, updating data in business tools, preparing administrative documents, following schedules, and coordinating information directly contribute to the quality of services offered to users. The position also participates in the development of the site's activities by supporting the programming, gathering public expectations, and contributing to the continuous improvement of the training offer.

A logistical and technical dimension complements these missions through the monitoring of pedagogical equipment, updating communication materials in collaboration with the concerned teams, and managing the data necessary for the functioning of the service.

This position is part of a small, cohesive team focused on a common project, where cooperation, trust, and communication foster a stimulating work environment. The diversity of proposed themes, the richness of exchanges with a loyal and curious public, and the variety of activities offer a particularly dynamic professional setting.

Profile Sought

This position is for a person recognized for their organizational skills, versatility, and interpersonal skills, capable of evolving in a dynamic environment where exchanges with the public and teams are central. Excellent mastery of office tools and the digital environment is expected, as well as a real facility for producing quality documents and using the university's business applications, notably APOGEE.

A good understanding of the functioning of the university and its environment allows for effective support of various interlocutors, whether it is the public, teaching teams, partners, or administrative services. The position also requires strong writing skills and excellent command of the French language to ensure clear, reliable, and professional exchanges.

Success in this role relies on the ability to organize one's activity methodically, manage several files in parallel, meet deadlines, and ensure rigorous follow-up of actions undertaken. Autonomy is accompanied by a genuine team spirit, fluid communication, and the ability to share useful information for the proper functioning of the service.

Beyond technical skills, this mission calls for a curious, committed, and proactive personality, enjoying the diversity of activities and human contacts. A sense of welcome, listening, discretion, availability, and responsiveness are essential to meet the expectations of a varied public in a spirit of service quality. Rigor, transparency, adaptability, and a willingness to contribute to the continuous improvement of practices will fully enhance the exercise of this function within a team committed to a mission of general interest.
