About the Role
Five Star Tax is seeking a highly organized, proactive, and sales-driven Sales Assistant to the CEO to support executive-level sales activity, client follow-up, lead management, and day-to-day sales operations. This role is ideal for someone who is detail-oriented, confident communicating with clients, and able to help the CEO stay focused on closing deals, building relationships, and growing the business.
The Sales Assistant will act as a key support partner to the CEO by managing sales communications, tracking prospects, preparing materials, coordinating meetings, and ensuring no opportunity falls through the cracks.
Key Responsibilities
Sales Support
- Track sales opportunities through the pipeline and maintain accurate CRM records.
- Prepare sales materials, proposals, client packets, and follow-up emails.
- Schedule sales calls, consultations, and meetings with prospects and clients.
- Monitor pending deals and remind the CEO of urgent follow-ups.
- Help organize client information before calls so the CEO is fully prepared.
Client Communication
- Serve as a professional point of contact for prospects, clients, referral partners, and internal team members.
- Send follow-up emails, appointment confirmations, reminders, and requested documents.
- Respond to basic client questions or route inquiries to the appropriate team member.
- Maintain a warm, professional, and service-focused communication style.
Executive Administrative Support
- Manage and organize the CEO’s sales-related calendar, tasks, and priorities.
- Prepare meeting agendas, notes, and action items.
- Coordinate internal communication between the CEO, sales team, operations, and client service departments.
- Keep the CEO informed of deadlines, client updates, and sales activity.
Reporting & Organization
- Maintain reports on leads, follow-ups, sales activity, conversion status, and client outreach.
- Help identify stalled opportunities and support re-engagement efforts.
- Keep sales files, client notes, documents, and communications organized.
- Support special projects related to business development, partnerships, and growth initiatives.
Qualifications
- Previous experience in sales support, executive assistance, administrative support, customer service, or a similar role.
- Strong written and verbal communication skills.
- Excellent organization and time-management abilities.
- Comfortable speaking with clients, prospects, and business partners.
- Ability to manage multiple priorities and follow through consistently.
- Proficiency with email, calendars, spreadsheets, CRM systems, and office tools.
- High attention to detail and ability to maintain confidentiality.
- Self-motivated, dependable, and comfortable working directly with senior leadership.
Preferred Qualifications
- Experience in tax resolution, financial services, legal services, insurance, real estate, or another consultative sales environment.
- Familiarity with CRM platforms and sales pipeline tracking.
- Experience supporting a CEO, founder, executive, or high-performing sales leader.
