Estate Planning Solutions is seeking a **bilingual assistant** with a **California notary commission** and experience in **estate planning and business formation filings** to join our team. This position will support our firm with client intake, document preparation, file management, and coordination of document execution both in-office and remotely.
The ideal candidate is highly organized, professional, detail-oriented, and able to communicate clearly in both English and Spanish. This role involves working closely with clients during the estate planning and business formation process, preparing legal documents, and assisting with Secretary of State filings.
## Responsibilities
- Assist with client intake and information gathering for estate planning and business formation matters
- Participate in interviews with clients regarding estate plans and business entities
- Draft and prepare legal documents including:
- Wills
- Trusts
- Powers of attorney
- Advance health care directives
- Business formation documents
- Other related estate planning and entity formation documents
- Prepare and file business formation documents with the California Secretary of State
- Maintain accurate and organized client files
- Coordinate execution of documents at our local office and remotely
- Communicate professionally with clients, vendors, and team members
- Provide notary services as needed
- Support general administrative and legal document preparation tasks
## Qualifications
- **Bilingual English/Spanish required**
- **California Notary Public commission required**
- Experience in **estate planning**, **business formation**, or **legal document preparation**
- Strong written and verbal communication skills
- Excellent organizational and time-management abilities
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Proficiency with Microsoft Office, Google Workspace, or similar office systems
- Professional demeanor and client-service mindset
## Preferred Experience
- Experience working in a law office, estate planning firm, or legal document preparation office
- Familiarity with California Secretary of State filings
- Experience preparing trust and estate planning documents
- Experience coordinating remote and in-office signings
