Ocularist Office / Insurance Coordinator & Receptionist

Position Overview

Erickson Laboratories is a small, specialized medical practice seeking an experienced, personable, compassionate, and highly organized Office / Insurance Coordinator & Receptionist to join our team.

This role is ideal for someone who thrives in a patient-focused healthcare environment, communicates effectively, and takes initiative without requiring constant supervision. As the first point of contact for our patients—many of whom have low vision or blindness—you will play a vital role in providing exceptional service and supporting our clinical team.

Key Responsibilities

Insurance & Administrative Coordination

  • Request prior authorizations and prescriptions for upcoming services and appointments
  • Maintain patient demographics and prosthetic eye information within the electronic practice management system
  • Send and receive medical records, correspondence, and documentation via phone, email, mail, and fax
  • Prepare patient receipts, letters, and basic reports using standard office software
  • Monitor office supplies and notify management when reordering is needed

Scheduling & Reception

  • Schedule, confirm, and manage patient appointments
  • Maintain cancellation and waitlists while filling schedule openings promptly
  • Answer incoming calls and route messages appropriately
  • Welcome patients and visitors in a professional and friendly manner
  • Check patients in and coordinate communication with providers regarding patient readiness

Patient Assistance

  • Escort patients safely between the waiting room, examination rooms, restroom, and building lobby
  • Assist patients with low vision or blindness as needed
  • Provide wheelchair assistance when necessary
  • Prepare and sanitize examination rooms after each patient visit

Additional Duties

  • Travel to the Tacoma satellite office once per month
  • Support daily office operations and assist with additional administrative tasks as needed

Qualifications

  • Previous experience in a medical office, healthcare administration, insurance coordination, reception, or related role preferred
  • Strong multitasking abilities in a busy healthcare environment
  • Exceptional attention to detail and organizational skills
  • Self-motivated with the ability to work independently
  • Excellent verbal and written communication skills
  • Professional, compassionate, and patient-focused demeanor
  • Strong problem-solving abilities
  • Ability to work collaboratively in a small team environment
  • Proficiency with Microsoft Word, Excel, and general computer applications
  • Ability to learn new software and systems quickly
