About the Role:
We are seeking a proactive and highly organized Executive Administrative Assistant to provide dedicated support to company leadership. This is a key role for someone who enjoys working autonomously, managing priorities independently, and serving as a reliable right hand to the executive team.
You will handle calendar management, professional communications, data organization (including QuickBooks), client interactions, and confidential information with discretion. Key Responsibilities:
- Draft, proofread, and format emails, letters, documents, and other written materials so they consistently uphold the company’s professional brand identity and tone.
- Perform accurate data entry and maintain organized records using Microsoft Excel, Google Sheets, QuickBooks, and related tools.
- Handle confidential client information, financial records, and sensitive company data responsibly and securely.
- Provide strong administrative and customer service support to clients, personnel, and management, facilitating smooth communication and collaboration.
- Prepare reports, presentations, and meeting materials as needed.
- Maintain efficient office procedures, organize files and systems, and support general office operations.
- Anticipate needs, prioritize tasks, and make sound independent decisions that keep leadership focused and operations running smoothly.
- Resolve conflicts and ensure deadlines are consistently met.
Required Qualifications:
- Strong decision-making skills with the proven ability to work autonomously and manage specific tasks and priorities independently.

- Outstanding organizational skills to maintain order, manage schedules, and ensure executives attend appointments and meet all deadlines.
- Superior writing skills to craft clear, professional emails, letters, and documents that uphold brand identity.
- Hands-on familiarity with data entry software such as Microsoft Excel, Google Sheets, or FileMaker.
- Proficiency with QuickBooks (Desktop and Online) for data entry, report generation, client file organization, and supporting bookkeeping workflows.
- High proficiency in office software, including the full Microsoft Office Suite and Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
- Solid knowledge of general office procedures and equipment.
- Strong familiarity with customer service principles and a client-focused mindset.
- Unwavering ability to handle confidential information responsibly and with discretion.
Preferred Qualifications:
- Minimum 5 years of administrative or executive assistant experience, ideally in a professional services, accounting/bookkeeping, legal, or small-business environment.
- Associate’s or bachelor’s degree in business administration, office management, or a related field.
- Some familiarity with legal documents, basic contracts, business entity formation (LLC or corporation filings), or administrative experience in a legal or professional services setting.
- Experience with client management tools or project/task management platforms (e.g., ClickUp).
- Comfort working in a growing but established company where roles can evolve.
